Duties and Responsibilities
Reporting to the Assistant Vice President ( AVP), the Associate Director of Financial Aid will be a key member of the leadership team providing oversight of customer service and training support to the entire financial aid team. This particular role may directly manage up to five FTEs including one Sr. Assistant Director and three Assistant Directors. This role will work in direct support of the AVP and the Director of Financial Aid Operations and Reporting to ensure the Financial Aid Office remains in compliance with both state, and HEA and Title IV regulations. This position will lead office trainings and helping ensure institutional polices are being met and/or are in place and/or updated on an annual basis. This position will also support the AVP with audit support and review.
Minimum Education and/or Work Experience
Bachelor's degree in related field or equivalent; or four to seven years related experience and/or training. A solid knowledge of federal and state regulations is essential.
Qualifications
- The Associate Director helps support all aspects of federal, state and institutional aid programs for students at Loyola University Chicago and is done with strict compliance with all state and federal regulations.
- Supports the AVP and other Associate Directors in formulating and evaluating policies and procedures for the distribution of financial aid in compliance with all state, federal, and institutional rules and regulations.
-Acts as a source of functional support; performs preliminary troubleshooting and analysis of issues and problems; identifies and recommends business process and/or system changes/enhancements to address ongoing problems.
-Coordinate new staff training
-Coordinate on-going training and compliance review
-Provides direct support for the AVP on compliance reviews and ensures staff are prepared and trained on policy changes
-Ensure high-level customer service is being provided to students and parents from all financial aid staff
-Monitors daily/weekly office phone records and student walk-in volume
-Provides direct guidance and review of R2T4 and SAP processes to ensure on-going compliance
-Supports students through the financial aid process including but not limited to the collection of documentation, review of documents, and the processing of federal and/or state financial aid awards.
-Provides leadership to direct and indirect reports including annual evaluations, goal setting, and performance management.
-Respond to student and parent emails and phone calls.
-Supports student and parent email/phone/walk-in escalations and provides reasonable solutions
-Participates in implementations and upgrades as resources are needed.
-Supports the AVP on internal and external audit reviews; providing timely and accurate information.
-Works closely with the other Associate Directors on staff trainings and workshops.
-Serves as a staff resource for questions regarding regulations, professional judgement, and verification.
- Master's degree is preferred.
- 6-10 years of experience working in a financial aid office.
- Previous supervisory experience is preferred.

Proficiency with Department of Education databases; COD, NSLDS, FAA Access, SAIG. PeopleSoft experience highly preferred.
