Duties and Responsibilities
Summary: Under general direction, performs a variety of administrative functions within a department that services Rogers Park/Edgewater community members emphasizing children and families.

Loyola Community and Family Services is a community mental health agency that will serve the Rogers Park and Edgewater community emphasizing an ecological and social justice approach supporting communities and families in the far Northside Chicago.

- Must be able to work until 7:00 p.m. two nights per week.
- Serves as initial point of contact for community members and agencies seeking support services from the center.
- Provides basic phone screening to see if callers appropriate for center services.
- Provides basic referrals for those who do not qualify for center services.
- Responsible for maintaining database of phone calls and referrals.
- Runs data reports as needed.
- Provides administrative support to Director and staff and is responsible for supporting the needs of office at large.
- Performs a variety of administrative duties including assisting with filing, preparation of materials for meetings, mailings, conferences, recording meeting minutes, database entry and maintenance, maintaining office supply inventory; preparation of financial and budget forms.
- At future date may be responsible for handing billing of mental health services.
- Performs other duties as assigned.
Minimum Education and/or Work Experience
High school diploma or equivalent and one to three years of relevant experience; some positions may require additional experience.
Qualifications
- Superior verbal and written communication skills and excellent customer service skills with a friendly and patient demeanor particularly with children and families
- Ability to work on multiple projects and deadlines simultaneously with changing priorities.
- Takes direction well and is a self-starter.
- Excellent attention to detail; time management and organizational skills.
- Familiarity with HIPPA standards and ability to maintain confidentiality.
- Bilingual Communication Skills (Speaking and Writing; Spanish) preferred
Certificates/Credentials/Licenses
High school diploma or equivalent and one to three years of relevant experience
Computer Skills
Familiarity with, and ability to learn, the MS software products Word and Excel
