Purpose of Position |
Assist the Vice President of Advancement and Executive Director of the
NKU Foundation with the day-to-day operations of the Foundation and Vice President's office. |
Primary Responsibilities |
- Serves as the Vice President/Executive Director's administrative assistant and is member of the Advancement leadership team. Welcomes guests, maintains calendar, answers phone/takes messages, creates folders/files, completes asset inventories, orders supplies, reconciles VP/EDs credit cards monthly, coordinates signatures/approvals, acts as substitute approver in SAP, time approval for VP direct reports, makes travel arrangements, assists with human resources, schedules monthly division meetings, communicates internally with members of advancement on behalf of the Vice President of Advancement.
- Manages accounts payable for AVP and ED accounts and working with the foundation accounting staff and division business manager, assists with operational budget development and administration.
- Builds relationships with NKU Foundation Board members to promote and support board member engagement. Builds relationships and serves as a liaison to other university stakeholders, particularly the President's Cabinet and Council and University Advancement teams. Is the point-of contact for the university's naming committee, the foundation's annual student leadership award, and the monthly president's calendar meeting group.
- Supports NKUF board committees and the Executive Director on projects as needed (e.g. real estate transactions, RFPs, membership/engagement documentation, policy updates, strategic plan development and implementation, etc.)
- Coordinates all aspects of Foundation board meetings including all board meeting logistics (room scheduling, calendar invites, ordering food, etc.), creates documents and presentations as needed, takes meeting minutes, and provides regular updates to the Executive Director regarding follow-up action items.
- Maintains records of the NKU Foundation Board of Directors (e.g. board terms, contact information, committee rosters, engagement records, committee meeting minutes, policies, orientation materials, gift agreements).
- Communicates with the Foundation Board, disseminates information including annual reports, meeting information, board minutes, and correspondence related to committee or university-wide matters.
- Manages banking-related and procurement matters, investment management (e.g. subscriptions, liquidations, capital calls) and buys/sells in the student investment account at the professor's request.

Qualifications |
Bachelor's degree and 5 years of related experience required.
- Demonstrated experience working in budget management
- Demonstrated experience working with boards/volunteers/donors
- Experience and ease working with community and business leaders
- Excellent written and verbal communication
- Strong sense of integrity and honesty
