Position Overview


Primary Purpose of Position
The position provides specialized administrative assistance and support to the department chair, program coordinators, department faculty, students, and university partners. The successful candidate will help manage the administration of the department program and activities, communicate policies and procedures, create and maintain departmental records, and assist with budgeting, procurement, and other activities.
Primary Function of Organizational Unit
The Speech Communications and Health Services Management Programs are a supportive community of committed
faculty and practitioners who prepare students to make a positive impact on the health and well-being of the citizens of North Carolina.
Work Hours Monday - Friday 8:00 am - 5:00 pm
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies.
Key Responsibilities and Related Competencies


Required Competency Communication - Verbal/Written
Duties
Act as the point of contact for students, faculty members, staff, and external partners.
Understand and interprets University, College, and Department policies and guidelines, answer inquiries, and advise students, faculty, and other stakeholders concerning processes, degree programs requirements, operations, and services.
Interfaces with potential students and their parents during organized events on campus and beyond.
Communicates with vendors, students, faculty, and others in regard to requisitions including initiating purchase orders, assisting faculty in research expenditures and documentation, and other departmental needs.
Takes independent initiative in compiling, analyzing, assimilating, and composing information and reports for internal and external use while ensuring accuracy, quality, and timeliness.
Manage regular faculty meeting agendas, minutes, and documents, as well as student town hall meeting minutes, and action items.
Schedules and coordinates appointments, meetings, and events.


Required Competency Program Knowledge/Records Administration
Duties
Knowledgeable in regards to departmental policies, processes, procedures and their application, interpretation, and allowable exceptions. Further, departmental knowledge requires knowledge of organizational structure, functions, services, programs, office procedures, and practices. Apply the knowledge to assist students and faculty, direct them to the appropriate office or individual and generally assist in efficiently and promptly responding to stakeholders' queries and needs. Knowledgeable about the University management information systems and ability to help with extracting, manipulating, and compiling data and other duties as could be assigned from time to time by the department chair.

Duties
Takes initiative in learning the departmental needs, utilizes advanced training/knowledge on the University technology systems including but not limited to; student administration, finance, and research administration; integrates a variety of software applications and systems for information, communication, administration, and records purposes.


Required Competency Budgeting
Duties
Serves as a resource for faculty and student on budget policies, procedures, and resources. May act as a lead person within assigned area of responsibility.

Serve as an office manager by monitoring, initiating purchasing, and prudent use of office supply inventory and other available resources.

Monitors and reconciles departmental or program budgets and tracks travel and office expenditures.

Duties
Records, compiles and summarizes data using established format. Compiles and organizes information from different sources to develop
reports and data.


Required Competency Problem Solving
Duties
Assesses and may resolve unprecedented problems that require research and review of policy and procedures. Applies judgment for
problem resolutions based on delegated authority from supervisor.
