POSITION SUMMARY

The Case Aide provides administrative support to Employment Coaches and coordinates administrative details and functions for CLUES Minnesota Family Investment Program (MFIP) in Hennepin County. The Case Aide is responsible for providing general case management assistance and general administrative support to the MFIP Hennepin team and continuous employment services to MFIP participants.

Reports to: Employment Programs Manager, MFIP Hennepin & Ramsey Counties

Location: CLUES Minneapolis, MN Office

Position Type: Temporary
Schedule: Full-Time. Monday - Friday Office hours. Generally, 8:30am-5pm.

Estimated Pay: $20.00 to $22.00 (depending on experience & qualifications).

This position is temporary and generally anticipated to end on December 31, 2024.
ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Provide administrative support to Employment Coaches who work with the MFIP program such as data entry, printing and copying, mailing and emailing, filing, note taking, and record keeping utilizing Workforce One (and other data platforms).
  • Support MFIP walk-in days by assisting participants with filling out forms, manage traffic flow, and provide support to Employment Coaches.
  • Provide information to new participants as needed and accept/deny referrals in Workforce One referral queue.
  • Schedule appointments to complete a program overview and enroll participants into the MFIP program.
  • Work closely with Employment Coaches to facilitate program orientation and workshops.
  • Assist in connecting participants with various workshops such as Career Planning, Job Search, Job Clubs, Life Skills, National Career Readiness Certificate, CareerForce, etc.
  • Assist MFIP team to connect program participants to appropriate services and resources such as: childcare, housing, mental health/ disability services, education needs, trainings, etc.
  • Work with the agency Employment Coaches to assist participants with career search activities and pathways to employment.
  • Collect participation hours; weekly and monthly depending on individual employment plan.
  • Process supportive services in a timely manner.
  • Promote the mission, operating values, and agency services of CLUES within the community.
  • Maintain client confidentiality in accordance with HIPAA, agency policies and other applicable laws, regulations and ethical standards.
  • Carry out all other duties as assigned by supervisor.

QUALIFICATION REQUIREMENTS


Education, Experience & Key Abilities

Required Qualifications:

  • Two-year degree with demonstrated coursework in human services or related field or commensurate related experience or combination of experience and education.
  • Proficient in Microsoft Office products including Word, Excel, and Outlook.
  • Committed to advancing racial equity and opportunities for program participants.
  • Understanding of confidentiality and data privacy.
  • This position requires compassion, collaboration, and excellent customer service to our program participants.
  • Position requires a valid driver's license, vehicle insurance, and a reliable vehicle.


Preferred Qualifications:

  • Experience working with a diverse population.
  • Ability to provide bilingual communication through speaking, writing, reading, and understanding.
  • Knowledge of employment programs (MFIP, DWP, METP, etc.) preferred.
  • Strong written, verbal, interpersonal, and customer service skills.
  • Must work effectively in a team-structured delivery system.


Language Skills

  • Effective communication in English, both verbally and in writing, required.
  • Bilingual ability in English and another language preferred, especially in English and Spanish or Somali, although not required.
  • Ability to read, analyze, and interpret written materials, including reports, contracts, and proposals.
  • Ability to effectively present ideas and information in an organized and effective manner, including writing reports.
  • Ability to maintain accurate documentation and respond appropriately to questions from clients, co-workers, management and external parties.


Transportation

  • Must have access to use a reliable motor vehicle for independent transportation, valid driver's license, proof of automotive insurance, and maintain a good driving record. Must submit to and pass annual recertification of compliance with CLUES Automobile and Transportation Policy and driving record check.


Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Computer Skills

  • Proficient working knowledge of email software, the Internet, databases, and common Windows-based programs, including Microsoft Office Word, Excel and PowerPoint required.
  • Must be willing to attend training to advance technical skills and maintain appropriate skill levels to perform job duties.


WORKING CONDITIONS

Background check

  • Must pass a criminal background check and driving record check. As a condition of continued employment, staff person may be required to submit to periodic re-verification of these, and additional background checks.
