Position Overview

Starting Salary Range is $53,202 -$61,183. The initial salary offer is commensurate with education and related work experience.

Reporting to the Chief of Staff and Vice President, Strategic Initiatives (COS/VP), the Coordinator, Strategic Initiatives and Administrative Services, is responsible for overseeing a diverse range of tasks associated with the daily management of the Office of Strategic Initiatives; provides strategic support in a manner that reflects the COS/VP's priorities and the College's mission, goals, and values, while demonstrating professionalism and confidentiality in all matters. The Coordinator will ensure the seamless execution of projects, facilitate efficient office operations, and serve as a key liaison among internal and external stakeholders. This position will step in as Manager, Presidential Affairs and Executive Operations, and Coordinator, Board Relations, as needed, in support of the President and/or Board of Regents.


Essential Duties & Responsibilities

Strategic Initiatives

  • Provide strategic and operational support to the COS/VP, including interpreting policies and procedures, preparing project summaries, drafting correspondence, assembling information, coordinating travel arrangements, and coordinating meetings/calendar.
  • Proactively anticipate the needs of the COS/VP, exhibiting strong critical thinking skills.
  • Strategically manage the daily operations for the Office of Strategic Initiatives.
  • Assess the relative significance of day-to-day events, correspondence, phone calls, and inquiries. Evaluate priorities and disseminate information to the COS/VP. Escalate requests and issues as appropriate.
  • Under the direction of the Public Information Officer (PIO/COS/VP), serve as the Public Information Coordinator (PIC); manage the process with college staff to respond to requests within time limitations; inform PIO when issues arise, or legal guidance is needed.
  • Strategically manage the College District's sponsorship opportunities across the College Service Area, while managing the annual membership budget.
  • Strategically manage and track the College District's institutional memberships by collaborating college-wide to ensure requests support the College's Strategic Plan, as well as eliminate duplicity.
  • Collaborate with other departments to draft and/or process sensitive and highly confidential letters and other forms of communication for the COS/VP including that which relates to employee, legal, Title IX investigations, and other confidential issues.
  • Coordinate the TASB Board Policy Update process by preparing tracking charts, meeting agendas, updating policies as directed, and validating the historical record of policies.
  • Create Board Action Items and other documentation as directed by the COS/VP for monthly Board meetings and Board Committee meetings.
  • Collaborate with the COS/VP to develop annual budget and manage the monthly shadow budget process.
  • Facilitate COS/VP meetings by creating meeting agendas, documents, and capturing action items in meeting minutes.
  • Assess and recommend innovative approaches to continually improve existing processes and workflows.
  • Provide administrative support to the Division of Strategic Initiatives senior leadership (Guided Pathways, Quality Service, Emergency and Safety Operations) as needed.
  • In their absence, assume the role of Manager, Presidential Affairs and Executive Operations, to provide support to the President, and the role of Coordinator, Board Relations, to provide support in preparation of Board meetings and other Board needs.

Administrative Services
  • Promote a positive image of the College by greeting visitors and callers to the Office of the President, responding to inquiries, providing general information as requested, referring inquiries or problems to the appropriate office, and providing follow up to determine satisfaction.
  • Manage the front office traffic as the gatekeeper, direct visitors or inquiries to other administrative offices as appropriate.
  • Communicate and interact effectively with executives, vice presidents, cabinet officers, and constituency groups in addition to students, faculty, staff, alumni, and the public.
  • Work collaboratively with the Manager, Presidential Affairs and Executive Operations, and other office staff, to assess the relative significance of day-to-day events to evaluate priorities and escalate as appropriate.
  • Manage the daily office flow to ensure the smooth operation of the Offices of the President and Strategic Initiatives.
  • Plan, coordinate and execute special events (Administrative Professionals Day, Staff Service Appreciation Day, Summer Social, Holiday Cocoa Bar) for the Office of the President, to include the tracking of the guest list, invitation design, contract with venue and caterer, arrange for audiovisual or other support equipment, debrief of the event with detailed minutes, and other logistics as needed.
  • Establish and oversee the executive filing system for the Office of the President.
  • Manage purchase requisitions for the Offices of the President and Strategic Initiatives; ensure receipt of purchases and closure of purchase requisitions as required.
  • Manage campus-wide approval process for institutional expenditures on grief and sympathy purchases.
  • Manage account statements, credit card expenses, and reimbursements as directed.
  • Manage approvals for conference room use, overtime requests, time-off requests, and other items needing signatures from COS/VP and/or President.
  • Manage inventory of office supplies, snacks, and kitchen supplies in accordance to budget and office needs.
  • Receive letters and packages and distribute; Prepare outgoing mail by drafting correspondence and securing parcels.
  • Coordinate office and computer repairs for team members and office maintenance requests as needed.
  • Assist and support the Manager, Presidential Affairs and Executive Operations, in event planning and execution for various campus events hosted by the Office of the President such as Commencement, Presidential Honors Day, Employee Service Recognition Dinner, Athletics and Honors Recognition, and United Way Campus Campaign.

Additional Duties & Responsibilities

  • Represent the President's Office by serving on college committees as requested and approved by the COS/VP (i.e., Grief Committee, Annual Foundation Gala, Fall/Spring Convocation, Commencement, United Way Committee, etc.).
  • Attend special events as needed.
  • Perform other duties and manage special projects as assigned.

Minimum Education, Experience, Knowledge, Skills & Abilities

  • Must be a current full-time or part-time employee of Lee College
  • Associate degree or successful completion of sixty (60) college credit courses
  • Minimum of three (3) years of related work experience supporting high level managers/executives
  • Must be organized, accurate, attentive to detail, and able to master a wide range of complex tasks in a dynamic, fast paced work environment
  • Must exhibit honesty, integrity, professionalism and dependability
  • Excellent computer skills, including Microsoft Office, as well as the ability to master additional software programs as necessary
  • Excellent written and oral communication skills and ability to diffuse irate, frustrated students and parents
  • Excellent interpersonal skills, able to converse easily with the public, friendly and personable

Preferred:
  • Bachelor's (or higher) degree
  • Experience with executive event planning
  • Bilingual: Read, write, and speak both English and Spanish
