Here's what you'd do:

  • The Pledge Processing Specialist is responsible for supporting all areas of pledge processing within the Donor Services department.
  • The Pledge Processing Specialist position is responsible for multiple administrative processes and quality control within the Donor Services Department
  • Auditing campaign pledges to be processed and organized in financial campaign envelopes.
  • Registering report envelopes into the CRM system (ANDAR), providing data control to ensure the envelope information gets into the system accurately, verifying accuracy of data entry before finalization of data entry, generating reports monthly statement generation, tax receipting, production of manual statement and tax receipts as necessary, reconciling campaign accounts and customer service to donors and internal staff as it pertains to their responsibilities.
  • Create or enter campaign envelopes into the CRM software (ANDAR).
  • Generate monthly statements and tax receipts for Corporate, Payroll, and Individual pledges.
  • Research any returned statements and tax receipts and make corrections necessary for the statements and receipts to reach the intended destinations.
  • Assist in collection efforts in conjunction with the supervisor and Resource Development staff.
  • Review select reports to verify the accuracy of seasonal data entry associated with the campaign.
  • Complete transfers and adjustments to ensure the correct application of pledges and payments.
  • Assist in database maintenance by merging duplicate accounts and accurately maintaining the financial data of the accounts during the merge.
  • Follow established guidelines for informing the supervisor of progress and developments and obtaining approvals.
  • Contributes to the overall success of the client by performing other essential duties and responsibilities assigned.
  • Responsible for monitoring pledge data quality and remediating data quality issues while supporting root cause analysis with a focused review of pledge data in the CRM (ANDAR)
  • Act as a subject matter expert of the CRM (ANDAR) as it relates to the role.
  • Responsible for the initial recording of company and individual campaign projections and results received for processing and maintaining the organization of records within the department.
  • Constantly focus on the improvement of products, services, and processes.
  • Contribute to the timely and accurate completion of group tasks while promoting a positive team environment through actions and behaviors.
  • Ensure critical issues are addressed, and essential information is provided quickly and effectively to all internal stakeholders to achieve the necessary results.
  • Manage and respond to customers' needs in a manner that provides added value and generates significant customer satisfaction.
  • Download or create/manipulate electronic pledge or payment files to upload into the CRM (ANDAR)
  • Assist with select customer service needs with the ePledge online pledging platform.
  • The incumbent for this position may operate a telephone, cellular telephone, copy machine, fax machine, calculator, personal computer, related printers, and other related office equipment.
  • Follow written instructions independently.
  • Perform a mail merge in Word.
  • Create and perform basic manipulations (Sum, Find, Replace) in an Excel spreadsheet.

Required Skills / Qualifications:
  • High School Diploma or GED.
  • Minimum of 3 years of computer operating experience in a Windows environment.
  • Minimum of 3 years of Advanced Excel experience.
  • Minimum of 3 years experience with manipulating PDFs and maintaining a digital filing system.
Preferred Skills / Qualifications:
  • Associate Degree.
  • Minimum of 3 years of Non-profit and financial experience.
  • Experience in a CRM database.
  • Minimum of 3 years of data processing/finance experience in an accounting environment.
  • Understanding formulas for data manipulation and mass formatting is expected to efficiently and accurately complete data imports.
  • Ability to complete multiple tasks and a high volume of work accurately.
  • A high level of attention to detail; concern for accuracy; work needs continual attention to detail composing, typing and proofing materials, reconciling and formatting data in spreadsheets/CRM, establishing priorities, and meeting deadlines.
  • A high level of interpersonal skills, customer service, and problem-resolution skills to handle sensitive and confidential situations.
  • Position continually needs demonstrated poise, tact, and diplomacy.
  • Able to handle difficult situations with a mature attitude and judgment.
  • Self-starter demonstrated ability to work independently and within teams, meet deadlines, and manage projects effectively.
  • Excellent time management, organizational & verbal and written communication skills.
  • Fast data entry and ability to grasp instructions quickly.
  • The incumbent in this position can read and interpret documents or instruments, perform highly detailed work, assist or guide problem-solving, perform mathematical functions, conduct meetings and presentations, prepare written communication, perform highly specialized analytical reasoning, withstand stress, and handle multiple, concurrent tasks and constant interruptions.
  • Intermediate math skills include calculating percentages, balancing accounts, adding, subtracting, multiplying, and dividing into all units of measure, using whole numbers, common fractions, and decimals, and locating routine mathematical errors.
  • Knowledge and ability to manipulate Excel reports based on specific criteria.
  • Highly detail-oriented and analytical.
  • Effective oral, written, and interpersonal communication skills with the ability to understand procedures and write reports and correspondence.
  • Excellent organizational and time management skills and the ability to work with minimal supervision while performing duties.
  • The incumbent can perform this position safely without endangering their health or safety or that of others.
