Essential Job Duties |
The Administrative Support Specialist will be responsible for providing administrative support for a number of varsity sports programs and other assigned staff in the Weisiger- Brown Athletic Facility for the NC State Athletic Department.
Primary responsibilities include:
- Serve as first point of contact for Weisiger-Brown (WB) Athletic Facility during normal business hours and as requested, including but not limited to: answering main phone line for the Athletics Department, providing customer service to guests, visitor parking, ordering supplies, reconciling purchase cards, arranging travel, planning special events, and assisting with special projects, as requested and assigned.
- As a representative of NC State Athletics, be courteous, professional and knowledgeable, answer questions in an accurate and timely manner, and maintain a professional appearance.
- Provide comprehensive administrative support for designated varsity sports programs.
- Prepare and process forms (P-Cards, travel reimbursement, team travel, official visit forms, etc.) in coordination with the Athletic Business Office.
- Manage athletics all staff lists via Google Groups and shared spreadsheets.
- Prepare memos, meeting minutes, and other correspondence, as requested.
- Order office supplies and break room supplies as needed.
- Distribute mail for Weisiger Brown facility.
- Respond to all correspondence and inquiries in a professional and timely manner.
- Maintain a high degree of confidentiality and professionalism.
- Assist with departmental meetings, functions, and special events, as requested.
- Provide support and backup for other departmental administrative assistants, as requested.

Qualifications
Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |

- The ability to work in a dynamic, fast paced office with changing priorities.
- Must display professionalism and be able to maintain a professional environment within the office.
- Superior communication skills and the ability to handle situations with tact and discretion.
- Excellent organizational skills and strong attention to detail.

Preferred Qualifications |
- Prior experience with PeopleSoft Financials.
- Experience as an administrative assistant.
