RAYUS Radiology is looking for a Lead Health Information Associate to join our team. As a Lead Health Information Associate, you will work to ensure all record requests from patients, referring physicians, attorneys, internal departments, etc. are fulfilled in an appropriate manner and all patient records are accurately maintained. Ensures the team is delivering the highest level of service. This is a full-time hybrid position (work from home and onsite at our St. Louis Park, MN center) Monday-Friday from 8:00am-4:30pm; with Sunday rotation (every 8th Sunday/4 hour shift).
ESSENTIAL DUTIES AND RESPONSIBLITIES:

(60%) Medical Records Administration



  • Ensures that all incoming and outgoing medical report requests are processed on a daily basis
  • Answers telephone requests for patient files from referring physician offices and patients
  • Prepares the daily duplicates and reports for delivery by the various courier services
  • Files and organizes the courier lists of outgoing films and reports
  • Ships all other items leaving clinic using preferred shipper as needed
  • Finds and retrieves outside films for doctors, technologists, and research
  • Communicates with attorney and insurance companies regarding patients
  • Communicates with patients to ensure they receive the records they have requested
  • Follows all HIPAA guidelines for release of information


(20%) Department Support



  • Checks department voice mail and email in a timely manner
  • Distributes reports to the various interoffice locations (Billing Office, study files, etc.)


(15%) Team Supervision



  • Coordinates the training and onboarding of new associates
  • Assists in the hiring process for new associates
  • Leads regular team meetings and associate one-on-ones
  • Monitors and approves timecards
  • Initiates and participates in annual performance evaluations, development and performance management of associates
  • Helps develop associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverage
  • Evaluates workflow and implements process improvements for the team
  • Ensures team has knowledge of company and department policies and corresponding procedures are in place
  • Supports associates ensuring highest level of patient satisfaction


(5%) Completes other duties as assigned

Required:



  • High school diploma or equivalent
  • Working knowledge of Microsoft Office
  • Data entry experience
  • Proficient with using computer systems and typing
  • 3+ years of medical records experience, with demonstrated ability to serve as a resource to others, coach and train associates, and identify and implement process improvement opportunities


Preferred:



  • Previous supervisory or leadership experience in an office environment
  • Bilingual
