Procurement Specialist

Job Description Summary

We are seeking a Procurement Specialist that will support the Cushman and Wakefield Verizon facility management team in order to provide an efficient and cost-effective solution to the client. The individual will be responsible for working with Senior Facilities Managers/Facility Analysts and to prepare purchase orders to be sent to suppliers to ensure contractual obligations are met by Cushman and Wakefield.

Job Description

Responsibilities:

Daily Spend:

  • Manage the Daily Spend process; transfer data from Smartsheets to other programs (Google sheets/Excel/etc.); review approved spend for duplicates; upload spend to SharePoint; monitor for approved spend; push PR (Purchase Requisition) from Tririga; review and process purchase orders in Yardi.
  • Work with Senior Facilities Managers/ Facility Analysts to submit Bid Waivers for work that does not meet the competitive bid process.
  • Responsible to create purchase orders within predefined period after approval of the daily spend discussions
  • Maintain organized records of daily approved purchase orders in SharePoint.

Purchase Orders:

  • Manage Purchase Orders full circle - from creation through closure (closure of POs that have balances of more than $100 after confirmation that service is completed). Including but not limited to edits and/or Change Order Purchase Orders and ensuring that the correct information is in the system.
  • Ensure implemented system of checks and balances are being continually met for service contracts.
  • Verify accuracy on pricing and information relating to proposals against contracts (Check Rate Sheet information in the Multiple Supplier Rate Database).
  • Ensure Quotes/Bids/Proposals meet client requirements (labor rates, labor category, breakout of time and materials, tax, mark-up, etc.) in accordance with Service Contract or as per the Terms and Conditions (Check Rate Sheet information in the Multiple Supplier Rate Database).
  • Monitor where the Purchase Order is in the Approval Process in order to send the Purchase Order which includes the Terms and Conditions to the supplier.

Invoice Monitoring:

  • Utilize the Systems Reporting/Search Options to ensure we receive the invoice from the vendor in a timely manner.
  • Monitor and request invoices from suppliers against open POs when invoices are not received after 45 days from work completion
  • Assist C&W AP with resolution of invoice issues

Compliance:

  • Work with C&W Compliance Team to resolve issues and identify and resolve root cause concerns
  • Work with Other departments (Finance/Sourcing/Operations/Accounts Payable) to streamline processes.

Qualifications:

  • 1-2 years of purchasing background
  • Bachelor's degree is a plus
  • Self-motivated and work independently to find solutions.
  • Detail-oriented with strong analytical & presentation skills (Excel & PowerPoint expertise required).
  • Strong organizational skills with the ability to prioritize multiple tasks and the flexibility to handle multiple competing priorities.
  • Effective communication with all levels of management
  • Proficiency in MS Office
  • Proficiency with using Google Suite (Gmail, Google Drive, etc.)
  • Knowledge of Smart Sheets

    The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
    The company will not pay less than minimum wage for this role.
