Position Highlights

The University of Arizona, College of Medicine-Tucson (COM-T) Department of Psychiatry is seeking a Program Coordinator, Senior for the Department of Psychiatry's Education division. The successful candidate will demonstrate the highest level of confidentiality, integrity, punctuality, and dependability in their daily activities with the Psychiatry Clerkship and the Psychology Internship Directors, Psychiatry Education Manager, and supported faculty and students. Strong organizational skills, attention to detail, and professionalism is essential to carry out the job tasks of providing support to the division's programs.

This position will be located at the Behavioral Health Pavilion, South Campus.

Duties & Responsibilities

Dual Reporting to Psychiatry Department and COM Curricular
Affairs:

  • Act as liaison between programs and community services, affiliated faculty, and outside officials.
  • Support Program Directors and Education Manager in maintaining accreditation status by complying with all regulatory requirements. Provide annual updates in various databases.
  • Assist in coordination of exams, graduation, recruitment, onboarding, orientation, and trainings.
  • Coordinate virtual meeting platforms, as well as room scheduling.
  • Set up and troubleshoot audiovisual equipment.
  • Update and maintain Training Manuals. Maintain trainee and program files.
  • Provide Verifications of Training.
  • Maintain open-door policy to field trainee questions and concerns.

Psychiatry Clerkship Duties & Responsibilities:

  • Coordinate the activities of all third- and fourth-year medical students during their Psychiatry Clerkship and elective rotations.
  • Assist Clerkship Director to ensure that program goals and objectives are met and that the LCME and College of Medicine guidelines are adhered to.
  • Assist in development of lecture schedules, orientation materials, clinical case conference and other educational activities relating to medical students.
  • Present orientation to Psychiatry clerkship rotations, as needed.
  • Approve schedule changes, audit student assignments, collect student evaluations, and prepare student grades for clerkship director's review and approval.
  • Post grades in accordance with policy.
  • Prepare confidential and sensitive student correspondence, such as letters of recommendation and letters of deficiency from the Clerkship Director.
  • Consult with the clerkship director, College of Medicine managers and other clerkship coordinators to obtain technical advice, strategies for problem solving, and answers to questions regarding policy interpretation and procedures for the clerkship.
  • Participate in site visits and clerkship manual distribution to assure clerkship objectives are being understood and adhered to.
  • Attend weekly Psychiatry Education Staff and Clerkship Director meetings.
  • Attend monthly Curricular Affairs meetings.
  • Prepare, coordinate, and take minutes for monthly Medical Student Education Committee meetings.
  • Attend quarterly meetings with Tucson Clinical Curriculum Subcommittee.
  • Attend Electives Committee meetings.
  • Review fourth-year medical student applications in VSAS for acceptance into Fourth-year elective rotations in the Department of Psychiatry.
  • Assist in recruiting and maintaining community preceptors for clinical training sites.
  • Update survey and evaluation forms, as needed.
  • Prepare various reports (exam scores, grades, program activities, site visits, etc.) for the University of Arizona College of Medicine to monitor the policies and teaching practices of the program requirements.
  • Proctor medical student examinations. Assist Psychiatry Residency Program with annual events, as needed.

Doctoral Clinical Psychology Internship and DNP Duties and
Responsibilities:

  • Liaise with College of Nursing to support the Behavioral Health Workforce Education and Training (BHWET) Grant.
  • Coordinate recruitment, credentialing, placement, supervision, and evaluations of students with Program Directors.
  • Assist program directors with pulling data and submitting annual reports.

Doctoral Clinical Psychology Externship Duties and
Responsibilities:

  • Coordinate credentialing process with Banner Health.
  • Coordinate placement, supervision and evaluations of students with faculty preceptors.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
