Job Summary
Provide primary registrar and customer services including continuing registration and record update services for traditional undergrad level students and advisors. Provide front-line customer service in person and via phone and email, and basic clerical duties for the department. Maintain upkeep of the file room and filing processes.
Responsibilities
Process traditional undergrad registration add/drop/withdrawals changes and registration in individualized courses for current students using a variety of tracking reports, systems, and procedures, as required.
- Communicate necessary registration confirmations and information to university stakeholders.
- Create and maintain accurate, updated documentation of processes and communication templates and procedures.
- Serve as front-line customer service for inquiries at both the main office and on-campus location on a rotation basis.
- Direct mail for the office suite, phone calls, emails, and walk-in visitors to the appropriate staff member, resolving problems and answering questions directly when possible.
- Process walk-in transcript requests.
- Process stop-outs, withdrawal, forfeitures, and deferrals.
- Oversee file room maintenance in coordination with Registrar's Office staff and student workers.
- Manage student file processes including retention cycle, file ordering, and assist in the ongoing training and oversight of student workers who are assigned to file system maintenance.
- Conducts periodic quality checks and assessments as needed and reports any issues to Student Worker supervisor.
- Manage office announcements; maintain inventory; coordinate with facilities, print services, and other offices for maintenance; and order supplies for the department.
Required Skills
- Working knowledge of Microsoft Office Suite. Experience with relational databases preferred.
- Able to learn, understand, and distribute policy information.
- Effective oral and written communication skills.
- Ability to interact effectively with faculty, students, administrators and staff are required.
- Ability to provide excellent customer service.
- Excellent attention to detail.
- Ability to critically assess and evaluate individual requests and accurately and consistently apply policy and process. Must critically evaluate requests to ensure accuracy.
- Proven self-starter and be able to work independently and as part of a team.
- Must be able to handle sensitive, confidential information in a mature, professional manner.
- Understanding of liberal arts education is preferred.

Additional Information
- This is a 40 hours per week, 12 months per year position.
- This position requires regular front desk shifts at both the main Registrar's Office as well as the main campus HUB office as needed.
- This position may be in-person, or hybrid.
- Occasional evenings and weekends may be required.
- Must be willing to train and be trained in additional or different tasks and responsibilities as needed.
- Must be able to work at a computer for extended periods of time.
