JOB SUMMARY
Responsible for assisting with the daily functions involving the collection, processing, and maintenance of protected patient health information via paper and/or electronic format in a manner which are in compliance with organizational, departmental, and regulatory requirements. Also, participates as an essential member of the HIM Department by ensuring that an individual's health data and information is accurate, complete, accessible, confidential, and secure. Provides leadership, oversight, and direction to assigned team members that ensures the accuracy and completeness of all assigned duties and tasks without compromising the integrity of patient information.
ESSENTIAL FUNCTIONS
Job Duties


    • Coordination Functions

      • Leads and directs assigned team in ensuring daily operations and standards are met.
      • Provides back up coverage for various areas of the HIM Department as needed.
      • Provides orientation and training for staff members on procedures, system functions, and activities required to perform job.
      • Monitors workflow to meet turnaround times, production standards, and project deadlines.
      • Functions as a resource person for HIM & clinical personnel to answer questions and assists with problem resolution.
      • Makes recommendations for changes in procedure to increase productivity and accuracy
      • Establishes and prepares daily, monthly, and yearly reports (statistical, productivity, and Key Performance Indicators (KPIs) of a complex nature with the use of various applications including MS Excel and Power Point.
      • Communicates concerns, customer complaints, and other information that might adversely affect the UT Southwestern Medical Center (UTSW) or department to HIM Management.
      • Provides input for performance appraisals and personnel issues while providing coverage for HIM Management Team.
      • Maintains productivity, performance, quality expectations while meeting organizational, departmental, and team goals.
      • Performs various analyses to assist in and ensure patient health information is complete, accurate, timely, and in compliance.
      • Verifies updates, maintains, and retrieves patient health information in paper and/or electronic format for authorized personnel.
      • Ability to work simultaneously with various systems/software with a high level of technical skill and knowledge in order to meet deadlines and provide tangible deliverables.
      • Fosters in building a cooperative, supportive, productive, and efficient team that while serving as a mentor.
      • Promotes and lead team engagement.


    • Courier Functions

      • Transports patient health information to and from clinics and/or other departments as needed and requested.


    • EMPI Functions

      • Monitors data integrity, research/merge duplicate medical records, and identify/correct patient overlays according to established protocols.
      • Performs patient name and/or demographic changes and follow the "marking patients deceased" processes as appropriate.


    • Scanning Functions

      • Prepares, indexes, and scans protected patient health information documentation in the electronic medical record while ensuring quality.


    • Transcription Functions

      • Reviews, edits, and processes transcribed documents for to ensure the highest quality in terms of accuracy, medical terminology, format, grammar, and punctuation.


    • ROI Functions

      • Timely corresponds to requests for release of protected patient health information while ensuring the appropriate information is released.
      • Performs various radiology film library functions upon request including calling and corresponding with patients and other department staff.
      • Reviews patient health information, process requests for medical records, and coordinate release of other types of records which are in compliance with organizational and departmental standards along with HIPAA regulations.


    • Inpatient Functions

      • Re-analyzes medical records for completeness and applies deficiencies as needed.
      • Responsible for coordinating the weekly suspension process,
      • Responsible for coordinating the daily operative scheduling suspension process.
      • Reports Performance Improvement audit results to all designated staff.
      • Responsible for prep and analysis for discharged patients.


    • General Functions

      • Orders supplies as needed.
      • Adheres to all UTSW and departmental policies and procedures.
      • Cultivates a shared vision for the department that is consistent with the UTSW vision and strategic initiatives. Upholds the departmental leadership, expectations, customer service, professionalism, standards, processes, and other departmental strategies.
      • Duties performed may include one or more of the following core functions: (a) Directly interacting with or caring for patients; (b) Directly interacting with or caring for human-subjects research participants; (c) Regularly maintaining, modifying, releasing or similarly affecting patient records (including patient financial records); or (d) Regularly maintaining, modifying, releasing or similarly affecting human-subjects research records.


    • Performs other duties as assigned.


QUALIFICATIONS
Education and Experience
Required

  • Education
    High School Diploma or equivalent and
    Proof of completed vocational certificate or degree which also supports the domain of the HIM field is required.


  • Experience
    3 years of health care experience or
    4 years of health care experience, business, and/or HIM experience in lieu of vocational certificate. or
    Additional education in HIM, Business or related field which supports the domain of the HIM field may be considered in lieu of experience.


  • Licenses and Certifications
    Completed vocational certificate Upon Hire
