The College has over 500 tenure-stream faculty, over 400 other academics and 300+ non-academic staff in approximately 40 academic departments and programs, a student population of 4,600 undergraduates and 1,300 graduate students spread across 27 academic buildings (~850,000 nsf). The overall College budget exceeds $400M, and total research expenditures by A&S investigators exceed $100M.

In both team-based and independent contexts, provide high-level administrative support to the Office of the Dean of the College of Arts & Sciences. Support the executive and administrative needs of the three divisional Senior Associate Deans who have oversight of the (1) Arts and Humanities, (2) Social Sciences, and (3) Math & Sciences. These three Senior Associate Deans are leaders in the College responsible for 30+ departments and programs. This support includes supporting the Senior Associate Deans in faculty searches, hiring, and departure processes using new tools and technologies; managing all college-level steps in reappointment, tenure, and promotion processes for tenure-track and non-tenure-track faculty, including providing training and acting as a resource for chair's assistants and department managers; coordinating and documenting processes and decisions for college committees; assessing emergent situations and recommending appropriate actions; and maintaining the Senior Associate Deans' calendars.

In relation to the responsibilities of the position, keep abreast of university policies and research, advise, and provide information to the Dean, Senior Associate Deans, and Senior Administrator as requested. Recommend, and oversee policy and procedure development and updates on behalf of the Senior Associate Deans and Dean. Respond to inquiries and resolve complex issues from 30+ department chairs and managers in partnership with academic HR and the Senior Associate Deans; advise on policies and procedures; act as liaison on highly confidential matters; advise deans and supervisor on potential problems and recommend action plans as appropriate. Provide training and mentorship to chairs' assistants and managers across A&S departments around tenure and promotion.

As part of the three-person admin team in the office, provide administrative assistance for special projects, committees, and events as needed, including planning the annual new faculty orientation, new department chairs breakfast, all-faculty Dean's fall welcome reception, and bi-annual chairs retreats. Under the leadership of the Senior Administrator to the Dean, ensure that administrative processes for the Dean and Senior Associate Deans are mutually supportive, ensuring seamless coordination and eliminating redundancies. As a representative of the Office of the Dean, this position mandates superb professionalism, discretion, diplomacy, and confidentiality in all interactions both within the office and among colleagues across the college, university, and external constituents.

Required Qualifications:

  • Associate's degree plus 2-4 years' related experience or equivalent combination. Bachelor's degree is preferred. In-depth knowledge and understanding of the tenure and promotion process and academic personnel policy is necessary. Ability to anticipate and diplomatically resolve a wide variety of issues. Ability to handle sensitive and confidential information with tact and discretion. Exceptional communication, organizational, and time management skills are essential. Position requires professional demeanor and excellent communication skills (oral & written). Proficiency with standard office technology is necessary (e.g., Microsoft Word, Excel, Outlook, Zoom, calendaring management, database management, spreadsheet analysis).

Preferred Qualifications:

* Prefer at least 5 years of related work in an office environment where a

high level of productivity, customer service, confidentiality and

professional demeanor were required and accomplished.

* Knowledge of: Smartsheet, Interfolio, Qualtrics, EShop is a plus.
