Practice Office Associate - Medical Records

Job Description:

Responsible for receiving incoming telephone calls in a prompt and courteous manner, greeting patients, verifying demographic/insurance, collecting co-payments/deductibles, accessing records in EMR system, and directing patients on how to access and view records in the patient portal, and various clerical duties assigned.

Full-Time, Monday - Friday (8am-4:30pm)

Job Responsibility:



  • Performs filing, sorting, organizing or patient records, information and mail.
  • Request patient medical records for provision of supporting documentation for billing collection purposes.
  • Adhere to HIPAA regulations and obligations of law regarding patient information.
  • Promptly and professionally answers telephone calls, and if appropriate routes them appropriately.
  • Organizes messages and delivers them promptly to the necessary individual.
  • Greet patients and guests in a courteous and professional manner.
  • Verify insurance coverage and demographic information.
  • Obtain insurance referrals and authorizations.
  • Direct patients to appropriate waiting or clinical areas.
  • Explain financial obligation to patients or responsible parties and collect. copayments/co-insurance/deductibles as required.
  • Facilitate or create appointments for follow-up care, diagnostics procedures, physical therapy, or pain management.
  • Other duties as assigned by a manager or supervisor.


Job Qualification:



  • High school diploma or general equivalency diploma (GED).
  • Minimum one year of experience in a medical records position preferred.
  • Minimum one year of relevant experience working in a medical facility or related field.
  • Minimum one year experience in customer service or reception, preferably in a health care environment.

  • Provides exceptional customer service abilities towards patients and colleagues.
  • Multitasking and managing multiple responsibilities in a fast-paced work environment.
  • Ability to work alongside and with a team.
  • Knowledge of state, federal, local and company legal protocols and process of medical record keeping.
  • Adhere to HIPAA regulations and obligations of law regarding patient information.
