The School of Industrial and Labor Relations at Cornell University is excited to announce the opening for the Associate Director of Graduate Student Services - Student Svc Assoc II in the Office of Graduate Programs.

The Opportunity:
The Associate Director will report to the Director of Graduate Enrollment and Student Services and work collaboratively with the Graduate Office staff and related faculty. In addition, this person will be part of the ILR Student Experience Team which is focused on the student experience and wellbeing for ILR students, has a student-centered approach, contributes to building a collaborative community based on trust, and values, diversity, inclusion, and wellbeing.

The Associate Director of Graduate Student Services will serve as part of a dedicated team of higher education professionals committed to recruiting, admitting and supporting a diverse graduate student population. In collaboration with the Director of Graduate Enrollment and Student Services and Director of Graduate Studies, the Associate Director will support the lifecycle of ILR graduate student engagement including student support services, academic advising, admissions, and onboarding.

In collaboration with the Director, the Associate Director will manage and advise on complex office and restricted budgetary accounts, financial awards, grants and assistantships, act as a liaison to the Graduate School, provide reports to, and work closely with, other members of the ILR School leadership.

Candidate Profile:
We are seeking candidates who appreciate and will take ownership in the following, and not limited to:

Student Services, Advising, and Graduate Field Coordination:

  • Plan and coordinate with Graduate office team and serve as the primary presenter at orientation programs. Conduct evaluation and future needs analysis, make adjustments where needed.
  • Design and execute an equitable advising strategy for all graduate students.
  • Provide ongoing one-on-one academic advising services for current students - i.e. counsel on graduate curriculum, career planning, long term academic plans and sensitive situations; utilize confidential information and conduct confidential conversations to provide these services.
  • Manages academic and student of concern cases and student crises at an advanced level.
  • Oversees the management of associated salesforce records and updates to the automatic responses and related protocols. Generates Salesforce reports to update Graduate Office Director, on student meeting trends, cases etc.
  • Demonstrate understanding and operate in compliance with federal, state and university data privacy and security regulations, policies, and best practices relating to the access and use of student records.
  • Coordinate with Director, ILR Registrar, and senior administration to manage student of concern and academic concern cases with confidentiality, care, and attention.
  • In coordination with ILR Registrar, monitor and manage students' academic progress/ milestones towards their graduate degrees; review students' academic records, initiate contact with these students, provide follow-up advising interactions.
  • Develop policies to address unique requirements of ILR professional program students and implement effectively across programs.
  • Plan and manage ILR commencement activities as it relates to graduate students; assist in planning and delivering programs.
  • Internal collaboration with the ILR Student Experience Team ("SET") (Office of Student Services, ILR Registrar, Office of Career Services, Engaged and Experiential Programs, and Undergraduate Admissions) and university wide committees, as needed, to improve the current student experience and processes.
  • Work in partnership with Graduate Office Director, DGS, and department chairs to execute semester-based assistantship plans.

Communication, Program Metrics and Policy Management:

  • Provides expertise, guidance, and judgement in decision-making and interpretation of policies and procedures for graduate programs to faculty, students, staff, and alumni as appropriate.
  • Create and implement communication strategy; create and distribute relevant information and announcements to students, faculty and staff, ensuring students feel well-served by the school while providing critical information to enhance the student experience.
  • Produce and analyze reports related to admissions, enrollment, demographics, financial award data, etc.
  • Communicate policies and advise when exceptions/petitions are needed.

Admissions & Yielding:

  • Demonstrate understanding and operate in alignment with university policies and procedures to ensure legal and ethical admissions operations.
  • Participate in the selection process, evaluation of candidates, and make recommendations for final admissions decisions.
  • Provide advice/assistance to the Director in long-range planning and strategies for program administration, development, certifications/recertification of programs and advising expansion.
  • Support the implementation of admissions process for graduate programs (MILR, EMHRM, MS/PhD) from application to the release of admission decisions in alignment with Cornell University strategic enrollment goals.
  • Demonstrate understanding and operate in compliance with federal, state and university data privacy and security regulations, policies, and best practices relating to the access and use of student records.
  • Provide direction and oversight to staff and student worker responsible for CollegeNET and completion status of applications.
  • Monitor admissions data for decisions, deferrals and deadlines.
  • Evaluate and improve application process based on faculty and student feedback.
  • Collaborate with Admissions & Onboarding Coordinator and Graduate Office Director to execute a recruitment scholarship plan each admissions cycle.
  • Process recruitment funding letters in coordination with the Graduate Financial Aid Administrators.
  • Seek and implement opportunities for process improvements, working with colleagues in ILR, the Graduate School and other colleges at Cornell.
  • Ensure admissions best practices are implemented during the review process and admission letters adhere to university policy standards.

Coordination with ILR Registrar Associates:

  • Coordinate individual student issues and concerns with ILR Registrar to ensure all ILR professional graduate student records are accurate and up to date.
  • Demonstrate understanding and operate in compliance with federal, state and university data privacy and security regulations, policies, and best practices relating to the access and use of student records.
  • Develop and maintain a working knowledge of University-wide policies, and federal and state laws and regulations that impact the school/college including, but not limited to, Family Education Rights and Privacy Act (FERPA), Federal Title IV Financial Aid (as it relates to students' academic records), Student Leaves of Absence and Withdrawals from the University and other policies pertaining to student.
  • Provide interpretation and guidance on University-wide policies and procedures, and state and federal laws and regulations pertaining to students' academic records, as they relate to the professional master's students.
  • Work with ILR Registrar and associates to promote and uphold policies and manage processes and procedures with the school to ensure compliance.
  • Responsible for student record management activities and processes, including course enrollment, changes to student status, bursar hold resolution, petitions and leaves of absence.
  • Working together with ILR Registrar, audit student records to ensure degree requirements are met; work with students to resolve open issues.
  • Responsible for compiling commencement lists and ensuring degrees are conferred on schedule (December, May and August).

Financial Planning and Budget Management:

  • Prepare and administer complex budgets for administrative, fellowship, and student support accounts.
  • Collaborate closely with Graduate Office Director, Graduate Financial Aid Administrators, faculty and department chairs to implement semester-based assistantship plans, ensuring compliance to ILR School Budget and alignment with university policies and guidance.
  • Provide planning and funds management advice to administration, review of financial accounting for accuracy, and compliance and stewardship of resources for Graduate Office accounts.
  • Work closely with the Economics and Statistics departments to process any students being funded through ILR, including those on grants, ensuring funds have been allocated correctly so there is no overrun in budget allocation and funds are distributed in alignment with university policy and guidance.

  • Ability to handle confidential information with utmost discretion; maintain FERPA compliance.

  • Record of success as a member of a dynamic, fast-paced team.
  • Proficiency with Microsoft applications, data base and student record systems (e.g., CollegeNet, PeopleSoft, Image Now, Salesforce).
  • Demonstrated effective and professional communication.
  • Professionalism, tact, excellent judgement, flexibility, and a demonstrated commitment to teamwork.
  • Experience in successfully advising students and a demonstrated ability to collaborate with internal and external stakeholders.

You will be a top candidate with our preferred qualifications:

  • Bachelor's degree in student services or a related field
  • Previous experience in academic student services and admissions
  • Experience administering graduate programs.
  • Experience with ILR curricula and positive working relationships with department/field personnel highly valued.

This is a full-time, non-academic staff, benefits eligible opportunity located in Ithaca, NY, within the ILR School on the campus of Cornell University. Position will allow for the flexibility to work a 4:1 in office to home hybrid work schedule.
