Your Role

Mission

Work with our fleet management companies in managing our service vehicle fleet of 500+ vehicles. Duties include registration renewals, state plate transfers, telematics and toll programs administration, insurance, fuel, maintenance, accident reporting, vehicle recalls, rentals, transport and assist with new vehicle orders and upfitting.

Roles and Responsibilities

Responsible for managing our service vehicle fleet of 500+ vehicles. This includes:

* Manage and update assigned driver and vehicle information in all fleet management company systems and internal fleet portals.

* Efficiently respond to and resolve large volumes of daily fleet requests from drivers and managers.

* Confirm vehicle registrations are renewed prior to the expiration date and manage state plate transfers with the fleet management company. Work with drivers regarding inspection prerequisites and/or fleet management company to resolve any issues.

* Confirm all vehicles are equipped with functioning GPS devices and update driver changes in the telematics system.

* Request toll transponders with the fleet management company when applicable.

* Update insurance company with vehicle additions or deletions, perform an annual audit, upload new insurance cards to SharePoint and request a Certificate of Insurance if requested.

* Confirm correct fuel card usage and assign and cancel fuel PINs as needed.

* View maintenance history to avoid unnecessary maintenance requests from service shops.

* Add new drivers to the Motor Vehicle Records program and upload First Notice of Loss from accidents to SharePoint Site.

* Monitor vehicle recalls and inform drivers and managers when applicable.

* Minimize the amount of time drivers are in rental vehicles by utilizing current inventory.

* Work with fleet management company with transporting vehicles within fleet.

* Verify new vehicles arrive with correct specifications, upfitting, and decals and work with fleet management company to resolve any issues.

* Monitor and manage spare vehicle list.

* Generate and distribute reporting for service vehicle fleet to management.

* Assist with vehicle inventory control and maintain accurate records in all platforms.

* Order new fuel cards, maintenance brochures, and other fleet items as needed.

* Process incoming and outgoing fleet related mail, including vehicle registrations and license plates.

* Work with internal departments to provide requested information and/or reports.

* Conduct meetings with vendors to provide and obtain feedback.

* Other fleet duties as assigned.

To succeed, you will need

Qualifications:

* Proficient in Excel, SharePoint, and other Microsoft Office Suite applications

* Strong attention to detail, problem-solving, ability to multi-task, adapt to change, and follow up.

* Organized, self-starter with the ability to take initiative and be an independent thinker.

* Ability to communicate effectively both written and verbal.

Education or Experience:

  • Looking for candidates with two years of experience in fleet administration or a corporate setting. We are willing to train the right individual.

Skills:

* Effective listening skills.

* Self-motivated with a positive attitude.

* Able to work individually and as part of a team.

* Ability to determine when to escalate issues to management.

* Additional duties as directed.

* Salary is based on knowledge, skills, and experience and has been geographically adjusted.
