Posting Summary
Rutgers, The State University of New Jersey, is seeking a responsible and experienced Senior Department Administrator for the University Investment Office. This position reports to the Chief Investment Officer ( CIO) and supports the staff of the University Investment Office, which is housed with the division of University Finance and Administration. The Investment Office oversees the university's endowment of approximately $2 billion, assets that are critical to the university's ability to fund student aid, advance pioneering research, support teaching programs, and foster innovation, and advance its mission.
Among the key duties of the position are the following:

  • Plays a pivotal role in the management of day-to-day operations and the long-term strategic planning for the Investment Office.
  • Navigates complex and confidential financial information, institutional strategies, and operations.
  • Serves as a trusted and reliable partner to the Chief Investment Officer (CIO), the Investment Office staff, and other stakeholders where necessary, in addition to effective and efficient administrative management of the unit.
  • Participates in and support strategic decision-making.
  • Introduces operational improvements, monitors financial partnerships, and facilitates the execution of high-priority Investment Office projects.
  • Oversees day-to-day office management functions, ensuring administrative precision and compliance.
  • Leads administrative operations, develops processes, and resolves complex issues to align investment activities with university and division goals and expectations and regulatory guidelines.
  • Provides high-level executive support to the CIO, including calendar and meeting coordination, budget oversight, management of travel, and preparation of investment materials.
  • Acts as liaison between the Investment Office and its partners, facilitating communication and collaboration across various university departments and with external partners, when needed.
  • Oversees the administrative work required for the Joint Committee on Investments, coordinates meeting logistics, prepares materials, and maintains records.
  • Manages a competitive internship program, ensuring adherence to university policy and practice.
  • Manages logistics and procedures for on-and off-boarding and the intern experience, and cultivates relationships with external firms to enhance potential post-internship career opportunities for student interns.

Qualifications


Minimum Education and Experience

  • Bachelor's degree in a related field; or an equivalent combination of education and/or experience that demonstrates working knowledge and understanding of office administration, work organization, coordination, facilitation, and/or report writing principles and practices.
  • Five (5) years of relevant professional experience in an administrative function.

Certifications/Licenses
  • A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.
Required Knowledge, Skills, and Abilities

  • Excellent communication skills, computer literacy, and an ability to operate within a fast-paced, highly-confidential environment
  • Proficiency in MS Office applications, including Word, Excel, PowerPoint, Outlook and other technologies and familiarity with video conferencing tools (e.g. Skype, Webex, etc.).
  • Calendar management skills and coordination of complex meetings.
  • Professional-level verbal and written communication skills, with the ability to effectively interact with senior investment management and higher education professionals.
  • Self-motivation, strong organizational skills, proactive problem-solving abilities and meticulous attention to detail.
  • Friendly, personable, and professional demeanor with excellent work habits and attendance.
  • Ability to work effectively with minimal direct supervision.

Preferred Qualifications

  • Strong alignment with the Investment Office's culture, which values collaboration, transparency, creativity, intellectual curiosity, and integrity, the principles and values of the division of University Finance and Administration, and the mission of Rutgers University.
  • Familiarity with Rutgers University systems, policies, procedures, and organizational structure.
  • Experience with systems used by Rutgers University, such as SciQuest, Oracle Cloud, Peoplesoft, Solovis, Tableau, and Fundriver.
