Job Overview
For over 50 years, Job Corps has helped young people achieve successful careers in some the country's fastest-growing industries. Administered by the U.S. Department of Labor, Gulfport Job Corps Center is a part of the nation's largest career technical training and education program. As the Executive Assistant, incumbent will provide support necessary to assist in efficient communication between center director and Center employees and relieve center director of administrative and clerical duties, in compliance with government, corporate, and management directives. As the Work Based Learning Coordinator, incumbent Serves as liaison between employers and the Center. Develop linkages in community for the work-based learning (WBL) program. Coordinates placement of WBL students. Assists in placement of students prior to departure from the program. Work Model: Onsite/Office-Based
Responsibilities
Essential Duties & Job Functions:
- Prepare correspondence as required by the Center Director.
- Serve as an information resource for staff, students, and visitors.
- Regularly facilitate compliance with reporting requirements through maintenance of report suspense system and report preparation.
- Review and distribute correspondence, as needed, and distribute correspondence, directives, information and instruction notices, program change notices, policy changes, and information bulletins.
- Maintain Center information library. Manage and maintain effective filing system of Center correspondence, to include hard copy and electronic media.
- Establish and maintain work-based learning (WBL) program linkages with local employers.
- Maintain linkages with federal, state, local agencies, employers, and contracted placement agencies to aid students' placement into jobs, continuing education, or the armed forces.
- Assist recruiters with outreach services as needed.
- Participate in career preparation period curricula and career transition activities as required.
- Support other Center areas as needed and appropriate, to include participation in Center review boards, training day coverage, advancement of technologies, and participation in student activities, graduation, and committees.
- Coordinate with the Business and Community Liaison to maintain current Community Industry Council and community relations mailing lists, invitations, meeting calendar, meeting agenda, and minutes.
- Responsible for monitoring student progress in the program by ensuring compliance with established corporate and Department of Labor Data Integrity guidelines.
- Promote student attainment of career success standards through modeling appropriate skills, mentoring students, monitoring, skills acquisition and intervening when inappropriate behavior is observed.
- Maintain accountability of students and property; adhere to safety practices.
- Order and maintain supplies for copy room and center director.
- Arrange travel for center director and other staff as assigned.
- Compose and distribute minutes from Center management meetings.
- Cultivate and maintain a climate on Center, which is free of harassment, intimidation, and disrespect to provide a safe place for staff and students to work and learn.
- Perform other related duties as assigned.
Job Requirements
Mandatory:
- Associate's degree in related field
- Four (4) years secretarial or clerical experience.
- One (1) year related experience in Business Community Liaison type activities.
- Ability to type 50 wpm.
- Proficient in the use of Microsoft Word, Excel, PowerPoint and Outlook at an intermediate level.
- Successfully pass any background check and/drug test required on the contract.
- Ability to obtain & maintain valid Driver's License and an acceptable driving record.
