Primary Purpose of Position |
This position provides full support for The William States Lee College of Engineering's Industrial and System Engineering Department (
ISE) and Office of Student Development and Success (
OSDS). Manages budget, personnel, and any and all business processes, and assists faculty, students, staff, visitors. Report to Chair of
ISE and Director of
OSDS. Handles routine office functions and ad-hoc projects as assigned. Handles correspondence and confidential information. Identifies inefficiencies and opportunities. |
Minimum Education/Experience |
Required Minimum Qualifications:
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Four year degree in a related business function and two or more years of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience. |
Essential Job Duties |
- Provides full support for The William States Lee College of Engineering's Systems Engineering & Engineering Management (ISE) and Office of Student Development and Success (OSDS).
- Manages budget, personnel, and any and all business processes, and assists faculty, students, staff, and visitors with any issues, questions, or concerns.
- Reports to Chair of ISE and Director of OSDS.
- Handles routine office functions and ad-hoc projects as assigned. Processes travel and student hires.
- Handles correspondence and confidential information.
- Manages records and fund activity.
- Processes paperwork and deposits. Interprets data. Identifies inefficiencies and opportunities. Promotes cross-training among staff.
- Assists Dean's Office on Academic Affairs reporting and other items as needed.
- Uses a variety of university systems.
- Uses University Purchasing Card. Uses Microsoft Office Suite and Google Suite.

Other Work Responsibilities |
- Aids in the resolution of issues encountered by faculty, staff, students, and visitors.
- Understands university guidelines, policies, and procedures and conveys this information clearly. Ensures business processes are in compliance.
- Other duties include event planning and program coordination.

Departmental Preferred Experience, Skills, Training/Education |
- Four-year degree in business, accounting, or similar and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.
- Ability to learn University systems and procedures, including 49er Mart, Concur, Banner Finance, payment request forms
- Experience generating reports and creating spreadsheets.
- Administrative experience including calendar management, office management, correspondence, Google Workspace.
- HR experience with hiring processes that include but are not limited to scheduling and recruitment database management.
- Excellent communication and problem resolution.
