Job Summary/Overview

Provides administrative and clerical assistance for the planning department.

Essential Duties and Responsibilities

Other duties may be assigned at discretion of management.

Assists in planning and scheduling workflow for assigned department.

Prepares production packets and drawing and/or special requirements for assembly.

Coordinates to assure parts orders ship on time.

Assists in maintaining work order due dates to prevent orders from becoming past due/backlog.

Pull, prepare and release work order packets as needed for planners.

Supply information as needed to planners and buyers to facilitate service orders and documentation.

Confers with planners and department supervisors to determine status of assigned orders.

Assists in collecting information, creating, preparing, and distributing reports, as necessary.

Alerts materials manager of material shortages and consumable needs.

Assists in administrative and clerical responsibilities for multiple departments including frequent scanning.

Any other duties as assigned.

Knowledge, Skills, Competencies, and Abilities

Ability to organize, prioritize, and approach tasks with a sense of urgency.

Ability to write reports and business correspondence.

Attention to detail. Achieves thoroughness and accuracy when accomplishing a task through concern for all areas involved.

Ability to communicate effectively via Microsoft teams, Outlook Email and in person.

Good interpersonal skills to enable the incumbent to effectively and intelligently deal with suppliers and internal technical personnel.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Ability to solve practical problems in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer literacy and computer operational proficiency.

Blueprint/specification reading skills to provide basis for understanding.

Required Qualifications

  • Associate's Degree from a college or university; or one to two years related experience and/or equivalent combination of education and experience.
