Job Purpose:
This position will provide administrative support to two or three Trust Administrators. Will assist with compliance, reporting data, correspondence, research, Client, and marketing activities. Responsible for assistance with a variety of tasks related to Trust Fiduciary administrations. Will work as part of a support team focused on exceptional client service.
Job Duties:
- Provide administrative support for two or three Trust Administrators.
- Take client calls and take appropriate action for request.
- Contact clients to schedule appointment(s) and annual reviews.
- Document client related interaction in Contact Relationship Management (CRM) System and maintain publications, reviews, address etc.
- Take action and follow up on routine client requests such as money movement, transfers, and updating client information.
- Will be responsible for monitoring/reviewing Medallion stamped documents for the stamp program.
- Prepare new account paperwork and work with Trust Administrator/Client to obtain signatures.
- Process completed new account paperwork to set up on systems as well as ongoing maintenance.
- Prepare reports, documents, and handouts for upcoming client meetings and presentations as well as monthly and quarterly reporting.
- Send forms out Via DocuSign to Clients for Signatures.
- Follow procedures and checklists for death of client processes.
- Assist with tracking and communicate with scholarship recipients.
- Responsible for the mailing of welcome packets to new accounts.
- Responsible for monitoring and will take corrective action for compliance issues - will escalate to Trust Administrator as needed.
- Initiate and attend weekly touchpoint meetings with Trust Administrator.
- Help with booking reservations, dinners, airfare etc. for client meetings.
- Order flowers or gifts for clients as requested.
- Research miscellaneous account issue and pull others in as needed for review
- Responsible for preparing Contribution and Crummey Notice Letters as well as pay insurance premiums for Irrevocable Life Insurance Trust accounts.
- Assist with phone coverage for team support and Trust Administrators.
- Support assistant team by attending team meetings, testing new technology, back up coverage, and mergers and acquisitions support if needed.
- Monitor supplies and request order with team supervisor.
- Provide backup for processing incoming mail as needed.
- Responsible for being Weblink client contact.
- Oversee document destruction annually based on retention schedules.
- Will assist with Mailings - birthday, Christmas cards, quarterly mailings and special mailings as needed.
- Will perform special projects as assigned.
Education, Experience and Job Skills:
- Associates Degree in business preferred.
- Two years experience working in a financial services environment required.
- Advanced Word, Excel, PowerPoint software and experience at adapting those to particular support needs is required.
- Must consistently produce work with a very high degree of accuracy.
- Flexible in changing priorities and working on multiple projects at once.
- Ability to prioritize work in a multi-task environment is essential.
- Resourceful in finding information and solutions, and able to think ahead to next steps.
- Must possess strong interpersonal, and communication skills, especially over the telephone.
- Must be able to maintain positive experience for clients, and associates, regardless of workload.
- Must have or willing to seek Medallion Stamp Certification.
- Self-motivated individual with effective office Administration skills.
Basis Qualifications:
- High School Diploma/GED required.
- Two years of experience working in a financial services environment required.
