Responsibilities

Provide high-level administrative support to the executives (CFAO & COO) and the department leadership team to ensure all administrative duties are handled in a professional, timely and efficient manner to assure smooth operation of the department and to assist in meeting goals. Position requires an understanding of the executive's responsibilities and method of operation, as well as an understanding of the Hazelden Betty Ford Foundation organization and corporate policies and procedures. Oversee broad range of administrative and process/project management activities.

  • Enhances executive's effectiveness by providing information management support; representing the executive to others
  • Provide project management or assist in special projects as directed by the executive
  • Work closely with leadership team, executive assistants and other assistants to establish standardized procedures and complete tasks.

  • Knowledge of Hazelden Betty Ford's mission, philosophy, values, and programs and services.

  • Knowledge and understanding of Hazelden Betty Ford's records management policies and procedures.

  • Knowledge of and ability to apply Hazelden Betty Ford's policy on confidentiality.

  • Knowledge of the Twelve Step philosophy and chemical dependency.

This role will be remote with the need to travel to one of our locations if needed.


Qualifications

Required Qualifications:

  • Associate degree or equivalent (3 years of related work experience)
  • 4+ years directly related experience in administrative assistance
  • Highly proficient computer skills in Microsoft applications (including Outlook, Excel, Word, Power Point, Visio)
  • Excellent communication skills, both verbal and written
  • Experience in creating visual presentations (including financial reports/charts)
  • Demonstrated experience scheduling meetings, creating appointment requests, and setting up virtual meetings (using software or technology such as Teams)
  • Must satisfactorily pass a state/license specific background check

Preferred Qualifications:

  • Bachelor's Degree
  • Experience working in fast-paced environment
