Position Summary:
The
administrative & customer support specialist performs non-routine and
varied customer service, student intake & referral, and operational
activities for Career Development Services. Must also be knowledgeable of office program policies and
procedures. Must frequently exercise
independent judgment to provide quality customer service.
Essential Functions:
- Operational
Support: Provides primary clerical and administrative support for the CDS
operations, student success, community and public service, and employer
relations programs. Enters data in the Handshake data management system.
Organizes and distributes office forms among work study student assistants
for cataloging and filing. Process necessary documents and brochures for CDS
events as needed. Prepares mail merges, labels, spread sheets, flyers, tent
cards, brochures, etc.
- Customer
Service Support: Provides front desk customer service for reception area.
Responds to general questions and inquiries on all CDS programs and
activities. Answers basic question on co-op program and Handshake usage.
Assists students in completing various program applications; and directs
students, employers, and university staff to the appropriate person or team
coordinator within CDS. Provides customer service support for the On-Campus
Interview Program when needed to include greeting company recruiters and students.
Answers phone inquiries; retrieves voice mail messages from the CDS general
telephone numbers and refers messages to the appropriate person(s). Makes
calls to clients to get information for CDS programs and functions.
- Administrative
Support: Provides back-up operations support for CDS Office Manager. Makes
reservations for parking, audio visual equipment, and meeting/workshop rooms.
Prerequisite Qualifications:
- High School Diploma, 1-3 years of relevant experience.
- Outstanding verbal, written, and interpersonal skills required.
- Proficient in computer applications systems including MS Office Word,
Outlook, Excel, Access.
- Ability to act with minimal supervision.
- Ability to make decisions based on policies, procedures.
- At
the university's discretion, the education and experience prerequisites may be
exempted where the candidate can demonstrate to the satisfaction of the
university, an equivalent combination of education and experience specifically
preparing the candidate for success in the position
