Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support our executive team. This role is essential in ensuring the smooth operation of daily activities and will involve a variety of administrative tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple priorities effectively.

Responsibilities

- Prepare reports and agendas that may require compilation, layout and formatting of various data
- Compose replies to correspondence, and compose letters, memoranda, or reports in final form.
- Arrange appointments and travel reservations.
- Verify and process expense reports and allocate funds to appropriate budget categories.
- Make routine purchases within prescribed guidelines.
- Maintain and update complex files or record systems, including data in SAP.
- Determine nature and appropriate destination of incoming phone calls or electronic mail queries.
- Support the team in various administrative tasks as required.
- Provide comprehensive administrative support to executives, including managing calendars and scheduling meetings.
- Coordinate projects and ensure timely completion of tasks.
- Organize and maintain files, both electronic and paper-based, for easy access and retrieval.
- Assist in planning and executing company events, meetings, and conferences.
- Transcribe meeting notes and prepare reports as necessary.
- Manage the front desk operations, greeting visitors and answering inquiries professionally.
- Utilize Outlook Calendar for scheduling appointments and maintaining executive schedules.
- Act as a personal assistant to executives, handling travel arrangements and other personal tasks as needed.
- Proofread documents for accuracy and clarity before distribution.

Requirements

- 5-7 years of experience as an executive assistant, administrative assistant, or any relevant work.
- Strong communication skills with the ability to compose letters and other various media.
- Proficient in clerical duties with excellent attention to detail.
- Familiarity with SAP or similar technology
- Experience with file management
- Experience doing expense reports
- Excellent calendar management skills and experience arranging appointments and travel.
- Proven experience in an administrative role, preferably as an Executive Assistant or similar position.
- Strong project coordination skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite, particularly Outlook Calendar, Word, and Excel.
- Excellent organizational skills with a keen attention to detail.
- Strong written and verbal communication skills for effective interaction with team members and external stakeholders.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Experience in event planning is a plus but not required.
