Job Description:

Company Overview: At Microchip Technology, we are committed to driving innovation and excellence in our field. We are looking for a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our Senior Vice President (SVP) and multiple business units. Join our dynamic team and contribute to the smooth operation of our fast-paced organization.

Job Summary: As an Executive Assistant, you will play a crucial role in managing the SVP's calendar, coordinating meetings, and ensuring that all administrative tasks are handled with high efficiency and accuracy. Your proficiency in Microsoft Office Suite will be essential in producing documents, reports, and presentations that meet the company's standards of professionalism.

Requirements/Qualifications:

  • Manage and maintain the SVP's schedule, including organizing appointments, meetings, and travel arrangements.
  • Provide administrative support to multiple business units, ensuring seamless communication and coordination.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Assist BUs with passport renewals & travel Visa's as needed.
  • Arrange and coordinate meetings and events, which includes ordering catering on-site and off-site.
  • Ordering of office supplies for BUs as needed plus promotional material.
  • Monitor, screen, respond to, and distribute incoming communications.
  • Reconcile expenses monthly for SVP using Concur.
  • Responsible for domestic & international shipping for BUs using the Shipping Authorization (SA) database.
  • Prepare Capital Requests & PRs using BAAN or LN program.
  • Follow-up frequently on invoices submitted for payment processing via BAAN or Accounts Payable personnel for dates of payment as requested by Microchip staff or vendor/customer.
  • Liaise with internal staff at all levels.
  • Review operating practices and implement improvements where necessary.
  • Uphold a strict level of confidentiality.

Qualifications:

  • Minimum of 5 years as an Executive Assistant supporting a senior level Vice President
  • Exceptional attention to detail and problem-solving skills.
  • Strong organizational and time management skills, with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and confidentiality
