Department:Campus OperationsDepartment's Website: Bookstore *Set up each semester in Booklog software program. Export, import, upload, and update semester information between the Booklog and Cams software programs. *Generate adoption letters for faculty review and updates. Once returned, enter each adoption item into CourseWorks. *Inform instructors of new editions, backorder dates, out of print, and out of stock items. *Review records from previous years to determine quantity required for each class offering, estimate buyback quantities of each textbook, and determine need for purchase of addition copies (new or used) from distributors. *Order textbooks and supplies according to projected student needs. Contact suppliers about any problems such as shortages, backorders, wrong editions, etc. *Generate enrollment report updates to ensure quantities are sufficient for each class. *Generate reports for all class changes and order textbooks as needed to ensure books are available ASAP for student use. *Receive textbooks and supplies by invoice into BookLog. CourseWorks calculates textbook prices from this information and generates barcodes and shelf tags needed for placement of books within Bookstore. *Receipt all incoming orders and prepare receiving report for the accounts payable process. *Enter e-requisitions or PCard logs for all items purchased. *Receipt and account for all incoming monies in the bookstore. Prepare daily cashiers report for Business Office. Prepare book charge information to assist Financial Aid office in award information. *Conduct textbook buyback and return any unneeded textbooks to vendors. *Plan space requirements for books, clothing, and other supplies. Prepare inventory reports; assist with the development and updating of bookstore policies and procedures; conduct sales promotions; and plan and oversee setting up of displays. *Monitor inventory daily and prepare end of fiscal year inventory report. *Monitor mark-up and profit margins. *Provide an upbeat student-oriented collegiate Bookstore environment. *In conjunction with Administration, develop and maintain and online college bookstore. *Assist in off-campus registration. *May supervise others within the Bookstore setting. *Coordinate with other campus departments to prepare for special events. *Compile fiscal reports and maintain accurate and adequate records providing an audit trail for all fiscal activity in the Bookstore. *Establish and maintain cooperative relationships with other collegiate bookstores. *Maintain good customer relations by answering questions about products, advise customers on merchandise selection, and respond to customer and supplier inquires about order status, changes, or cancellations. *Manages Concession Trailer *Other duties as assigned. Food Service *Plan, coordinate, assign, oversee and participate as required in the preparation, cooking and serving of food; preparing and maintaining necessary records and files. * Identify problems and suggest changes in methods and procedures. * Supervise the kitchen opening, set up of equipment, and preparation of cafeteria for serving. * Train personnel in operational procedures. * Maintain accurate food service records. * Maintain consistency in food preparation and service to students and school * employees. * Monitor refrigeration equipment. *Order cafeteria supplies and prepare food orders as needed. * Prepare foods as needed; prepare USDA inventory and production records. *Set up monies for cash registers. *Count and balance cash received; prepare deposit and deposits monies in bank. *Prepare work details for next day, secure kitchen for next day and when not in * use. *Supervise cleaning and sanitizing of eating utensils, counters, and equipment. *Compile reports, bills, deposit slips and cash register reports. *Receive, check and sign for food delivered to school, prepare work schedule, keep * time sheets. *Prepare food production reports, prepare roster sheets. *Coordinate efforts with college staff, faculty and support personnel, which include (Delivery, maintenance, security, custodial). *Create Staffing Schedule *Attend meetings and perform related work as required.
