The Senior Administrative Coordinator provides overall administrative assistance to leadership, faculty, research, and administrative staff for the Lewis Katz School of Medicine's Department of Cancer & Cellular Biology and the FELS Institute for Personalized Medicine.

Essential Functions:
*Assists leadership with the day-to-day operations; including facility requests, mail, supply orders; answers phone calls and responds to routine inquiries; functions as a liaison with various departments in the University.
*Will coordinate travel arrangements and all professional activities for the Chair/Center Directors and faculty.
*Senior Administrative Coordinator will prepare and track purchase orders, vendor and contractor payments in TUMarketPlace, and resolve payment issues with Accounts Payable, as required. Will handle purchasing card transactions as needed for generalized shared laboratory expenses of the Center/Department.
*Prepares complex correspondence and tables under the direction of the Chair/ Center Director while respecting the confidential nature of such materials. Responds to email and correspondence in a timely manner.
*Responsible for coordinating and facilitating conferences and seminar series; arranging and setting up conference spaces, including A/V and catering needs, seminar speaker needs and disseminating seminar notifications.
*Prepares research administrative documents; maintain departmental databases and listserv.
*Compiles materials for faculty appointments and promotions; enter requisitions for staff hiring which may include working with the International Student and Scholar Services to process visas.
*Orients new hires to the Dept/Center and prepares postdoc appointments letters.
*Assists leadership in the preparation of reports for submission to the Dean's Office and other academic offices as needed.
*Maintains and manages the kronos system to include entering time for hourly employees and recording time off for staff and faculty
*Generates monthly reports in the Cognos and Self-Service Banner systems to reconcile grant and non-grant budget information, process journal entries and clear

Required Education & Experience:
Bachelor's degree and at least two year of related administrative support experience within a medical setting. An equivalent combination of education and experience may be considered.

*Demonstrated computer skills, and proficiency with MS Office Suite software programs.
*Excellent verbal and written communication skills.
*Exceptional customer service and interpersonal skills, along with the ability to interact effectively with a diverse constituent population.
*Demonstrated organizational and prioritization skills, along with the ability to perform multiple tasks in a fast paced dynamic environment.
*Strong analytical and problem solving skills.
*Demonstrated ability to work independently and in a team environment.
