Job Summary

GateWay Community College is now hiring a great new role! This position performs administrative duties supporting the Trades and Industrial Technology programs. In this role you will be providing support to the program manager in coordinating program meetings, such as scheduling team meetings, sending reminders, maintaining Google calendar meetings, and taking meeting notes. Serve as a key partner for inter-departmental communication with marketing, enrollment, recruitment, and scheduling; supporting all on-board training utilizing the operating system and time cards with Human Capital Management (HCM), SIS, Canvas, (learning management system), and Google suites. One of the key roles is providing support to students and program promotions by connecting with High School students at off-campus events, College fairs, and STEM fairs. Conducting student outreach campaigns via phone calls, emails, and coordinating on-campus events such as open houses, commencement ceremonies, photo shoots, campus tours, and information sessions.

Essential Functions

50% - Schedules, prioritizes, coordinates, and performs administrative office support activities related to meetings, events or office services. Assists with research, gathers information, and provides coordination of activities and administrative support of projects, programs, or services; supporting enrollment operations for incoming students regarding resources for financial aid, disabilities, and general student navigation, and assisting instructional staff by coordinating and supporting advisory committee meetings; scheduling and updating the courses projected program start dates through Student Information Systems (SIS); helping to keep staff on task to meet project deadlines and offering any additional support.

20% - Provides customer support of assigned systems or service area and provides technical assistance, specialized administrative office support activities, and assists with budget preparation.

20% - Prepares and maintains schedules, coordinates calendar, researches, and makes travel arrangements; oversees the maintenance of files, records, database information, and documentation according to established procedures and training; conducts orientation to other staff.

10% - Communicates with internal and external resources regarding policy and procedure, event and program information; receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resource; performs other duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience providing support to students and program promotions (such as off campus events, College fairs, conducting student outreach campaigns via phone calls, emails, and/or coordinating on-campus events,etc.)
B. Experience with Microsoft Office and/or Google Suite, College software systems (SIS, HCM, FMS, Canvas,etc.)
C. Experience in customer service in an office setting.
D. Experience working in an educational environment
E. Experience working with a diverse population of students and/or staff

Special Working Conditions

  • May be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
  • MCCCD does not sponsor individuals for any type of work visas
