The Administrative Coordinator manages the overall office operations for the Vice President for Student Life and Dean of Students; provides day-to-day administrative assistance for housing operations and student programming to include activities and registered student organizations; and provides project-based support for all Student Life initiatives like Cougar Trax, New Student Induction, X-Factor Student Leadership Selection, University Housing openings and closings. The Student Life Administrative Coordinator serves as a member of the Student Life team who are committed to creating a campus community where all feel welcomed, supported, and safe.

Essential Duties & Responsibilities

- Provide administrative support to the VP for Student Life and, secondarily, to the Dean of Students.
- Maintain daily oversight for operations of the Student Life Office., ensuring professional reception during business hours for in person, telephone, and electronic interactions.
- Develop working knowledge and application of University administrative practices, processes and policy which support hiring, purchasing, and record keeping.
- Hires, trains and supervises student staff in Student Life. Serves as the lead in managing job postings and compliance with all HR processes/paperwork for hiring and payment of student employees and student leaders.
- Route inquiries and referrals to appropriate channels working to help solve student concerns.
- Support Student Life staff in housing operations and student development to include special event management.
- Manage all petty cash operations for student activities, registered student organizations and housing operations. Keep detailed records of funds in and out and ensure spending is properly tracked and recorded. Submit monthly petty cash requisitions with receipts to Accounting.
- Ability to manage workflow through software systems which support student activity operations such as Campus Labs Anthology, eRezLife and Maxient.
- Discretely handles a large volume of highly sensitive and confidential information, including employee information, student disciplinary records, student Care Team data, and referrals to Counseling, Center for Accessibility Services.
- Independently monitor department budgets and prepare purchasing and invoice requests as needed.
- Manage the locker rental program, scheduling of the Wiseman Student Lounge and all logistics of the program to award graduating students involvement stoles and patches
- Together with Student Development Specialist manage The Den; the student involvement portal through Campus Labs.
- Work collaboratively with Facilities Management, Auxiliary Services, and other Student Support departments to provide exceptional service to students.
- Provide support to all housing operations and be knowledgeable of the housing application process and housing policies to . Manage meal plan changes.
- Participate on committees that work to celebrate and recognize outstanding student achievement.
- Assist in implementing and executing the comprehensive X-Factor student leader hiring process.
- Work with individual students, as well as groups, to provide resources, referrals, mentorship, and general guidance as appropriate.

Qualifications
-
- Bachelor's degree required
- 2-4 years of full-time experience with administrative office oversight and/or event planning
- Flexible, adaptable, passion for thinking boldly with a commitment to serving diverse student populations.
- Comfortable working in a fast paced environment.
- Knowledge of human and student development, group dynamics, personal computer proficiency, and excellent interpersonal and communication skills preferred.
- Bilingual Spanish speaking preferred.
