DEPARTMENT OVERVIEW

UCSC Extension Silicon Valley (UNEX) combines the academic excellence of the University of California with the expertise of seasoned practitioners. This collaboration provides advanced professional training that addresses the real-world needs of people who work and live in Silicon Valley and beyond. UNEX is comprised of four academic programs: Creating Equity in STEAM, Professional and Continuing Education Program, UC Scout, and the Smarter Balanced Assessment Consortium. UNEX also oversees and operates a 100,000 square foot building.

The UNEX division has an operating budget of $40-$45M, 350 faculty instructors, and 120 staff employees. As a division of UC Santa Cruz, UNEX is responsible for managing its operations across each of its business units to a high degree of financial accountability. The finance department is responsible for the management of business operations, the chart of accounts, accounts receivable, accounts payable, budget, and financial controls.

JOB SUMMARY

Under general supervision of the Finance Director, this role will be responsible for a range of tasks supporting employment actions and accurate pay for academic employees in the Division of Undergraduate Education, with a particular focus on non-senate faculty.

The incumbent regularly interacts with provosts, department managers, budget analysts, individual students, faculty, Academic Personnel Office (APO) staff, and other central campus staff and administrators. Responsibilities include managing pay for the division through analysis of financial, operational, HR, and procurement data to drive data-informed decision-making and contribute to the overall success of UNEX.

APPOINTMENT INFORMATION

Budgeted Salary: $36.28 - $42.62/hour. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

50% - Academic Payroll

  • Onboard new academic employees ensuring employment verification and compliance
  • Day to day ownership of adding new Instructors to UNEX systems
  • Prepare payroll setup, manage separations, appointment extensions, and short work breaks
  • Enter academic employee time worked into payroll system
  • Maintain and administer employee earnings information
  • Process payments, period-end adjustments, and respond to employee payroll inquiries

40% - Enrollment to Cash Support

  • Support students' enrollments: create student financial record tracking
  • Evaluate and approve new funding partners, and close out old funding partners
  • Monitor the payment of tuition, and apply to correct partner and student billing accounts
  • Organize student information and make it easily accessible to track students' academic progress
  • Organize and track the success of marketing and funding events

10% - Payroll Reporting

  • Financial Reporting in SAP BusinessObjects Web Intelligence for Staff and Student pay details
  • Support month and quarter end close with reporting, and updated employee rosters

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Experience processing payroll for Academic Personnel
  • Experience working with minimum supervision, researching and troubleshooting pay related issues, accessing institutional resources available, and using discretion around sensitive topics
  • Analytical, critical thinking, and problem-solving skills to analyze and interpret policies, procedures, and situations in a multi-faceted way; develop and implement innovative recommendations and solutions within established guidelines
  • Math skills sufficient to calculate payments accurately
  • Excellent verbal communication skills in a professional environment
  • Strong writing skills
  • Ability to exercise flexibility, cope with ambiguity, frequent interruptions, changing priorities and competing deadlines
  • Ability to establish and maintain cooperative relationships with diverse individuals and institutions
  • Ability to learn and accurately utilize UCPath, E-Verify, Higher Reach, Banner, SAP Web Intelligence
  • Ability to pay strict attention to detail and work accurately
  • Ability to coordinate a variety of projects simultaneously; ability to work under pressure of deadlines, multiple responsibilities, and high volume of work

PREFERRED QUALIFICATIONS

  • Knowledge of UC systemwide and organization policies, union contracts, procedures and practices that govern academic HR administration.
  • Ability to understand an organization's goals, priorities and values and the legal and human implications of decisions
  • Ability to address moderately complex issues and present nuanced analyses

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work a hybrid work schedule and must be able to work successfully from a home/remote office and fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work a variable schedule including evenings and weekends.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
