Job Summary:
With primary responsibility to the Conflict of Interest office (NUCOI) and secondary responsibilities to the University Compliance Office (UCO), the Program Assistant 4 coordinates a broad variety of business and administrative processes associated with the implementation of Northwestern's comprehensive conflict of interest (COI) and compliance programs. This position is responsible for fulfilling compliance verification requests, independently providing assistance and support to the University community regarding department processes and systems, reviewing partner organization's conflict of interest policies, profile creations, and triaging requests and communications to the team. This position supports the annual disclosure process, which is completed by all Northwestern faculty and staff. In addition, this position provides administrative support to the Conflict of Interest office (NUCOI) and University Compliance Office (UCO), and their related committees.
Specific Responsibilities:
- Assist in the administration of the University's annual disclosure, review, and evaluation processes including testing and validating system roles in eDisclosure, supporting users, conducting follow-ups, and reviewing staff disclosures, making referrals to the NUCOI Director when potential conflicts are identified.
- Maintain exceptional proficiency in the University's COI systems, including use of the systems, troubleshooting issues with the systems, running reports, and evaluating the systems for improvement opportunities based on use and user feedback.
- Support the university community in COI compliance related to research proposal submission.
- Review COI policies from external organizations to ensure that they are compliant with NUCOI policy requirements.
- Create eDisclosure profiles and disclosures for external researchers.
- Based on analysis, research, and/or knowledge of subject matter, independently prepare and compile correspondence, reports, analyses, and other information, data, and documents as needed.
- Independently provide timely and exceptional system and process support via phone and email to ensure faculty and staff satisfaction. Manage team inbox and triage communication requests for the team, referring issues as appropriate.
- Maintain department websites as a useful resource for the University community.
- Provide administrative support services, including:
- Schedule and assist in coordinating committee meetings and other meetings for NUCOI and Compliance programs.
- Prepare and distribute meeting materials for committee and other meetings as needed.
- Manage office supply needs and place orders as required. Manage office procurement card.

Minimum Qualifications:
- A high school diploma or its equivalent with 3-5 years of administrative support experience in an academic or business environment.
- Advanced technological skills and the ability to become proficient in new systems.

Preferred Qualifications:
- Bachelor's Degree.
- Prior experience in a University environment.
- Familiarity with Northwestern University systems.
The target hiring range for this position will be between $23.00 to $27.60 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
