The Senior Coordinator, Research Development & Philanthropy will work as part of the Research Development & Philanthropy team (RD&P) to coordinate, organize, and manage the day-to-day project activities for the Custom Research & grants business. The primary role of this position is to track project deliverables and deadlines, managing project scheduling and planning, overseeing contracting and project delivery, and coordinating communications with stakeholders and clients. This role reports directly to the Managing Director, Research Development and Philanthropy.

Currently, this is a remote-first position, and this position may be required to periodically work on-site at our office and the frequency would depend on the department/division's requirements. Therefore, candidates must either reside within a reasonable distance to commute to our office or be willing to travel to our office in Herndon, when required.


How You Contribute:

Customer Focus:



  • Coordinate meeting schedules with internal stakeholders and external clients and partners, prepare meeting agendas and objectives, handle post-meeting communications including meeting summary, action items and next steps, and scheduling follow-up calls.
  • Assist team members in building and maintaining close and long-lasting relationships with clients and partners using a structured, disciplined approach to increase participation and satisfaction among our customers and stakeholders.
  • Captures and reports customer's feedback, demands and information in a timely manner to inform business decisions and optimize operation.


Optimizes Work Processes:



  • Track schedules, internal and external deliverable deadlines, notifying teams of upcoming projects and grant obligations.
  • Maintain a comprehensive project list and schedule, utilizing project management tools (e.g., Monday.com, Clarity, Salesforce).
  • Organize project documents and reporting libraries on SharePoint and OneDrive, ensuring all materials are up to date.
  • Confirms contract executions and track and payments, initiating communicating with clients as necessary.
  • Innovate new workflows within CRM tools for accurate information for monthly management reports, Quarterly Business review deck, board meeting materials, and all other essential documentation.
  • Support the Grant Manager in grant reporting and gathering information and input needed from internal stakeholders.


Communicates Effectively:



  • Communicate with members within the team, across teams, and leadership in an open, transparent, clear and effective manner
  • Establish clear goals, objectives, and timelines for meetings, gathering information, and coordinating project processes and deliverables
  • Serves the point of contact for clients, handling basic correspondence, scheduling meetings, and sending out materials
  • Work with IT department to arrange and maintain file transfer accounts needed by external clients
  • Coordinate with internal stakeholders including, but not limited to, Chief Data Office, Research Center, Learner Insights product teams, and Data Operations to support project needs for project delivery

What You Bring to the Table:

  • An associate's degree or higher in business management, Business Administration, or a related field. A combination of education and experience will also be considered, including through military service.
  • 2-3 years of experience in business administration, business analytics, customer service or client management.
  • Strong self-sufficiency, initiative and motivation, and the ability to deal effectively with ambiguity, and follow through with limited direction.
  • Proven ability to multitask and manage competing priorities effectively.
  • Excellent communication skills with a knack for sensing the dynamics of conversations and addressing concerns confidently.
  • Proficiency with Microsoft Office Suite and familiarity with project management and collaboration tools.
  • Demonstrates Clearinghouse's core competencies: customer focus, optimizes work processes, communicates effectively, collaborates, and is open and authentic.
  • Position will be 100% remote with the occasional requirement of attending mandatory meetings in Herndon, VA as requested by Senior Leadership.

  • Must be at least 18 years old.


Additional Desired Requirements:



  • Familiarity with financial reports.
  • Experience in working with senior and executive leadership
  • Service oriented and a champion of challenges experienced within the higher education industry.


Physical Demands:

  • Use of a computer for 8 or more hours a day.
  • Use of a copy machine and telephone.
  • Frequently required to sit for 7 or more hours per day, when in the office may work in close proximity to others in an open office environment.
  • Occasionally required to use hands and fingers to operate, handle, and reach.
  • Vision abilities include close vision and the ability to adjust focus.
  • Must be able to hear, speak, read, and concentrate.
  • Must be flexible to perform out-of-town assignments and travel via car, airplane, train (up to 15%) including evening and weekends, when needed.

Vacation time will accrue based on length of service, and new full-time hires can accrue up to 13 days of vacation and up to 10 days of sick time per year. On an annual basis, new employees may use up to 32 hours of accrued sick time as personal time. Additionally, the Clearinghouse observes at least 11 paid holidays per year.

Additionally, we reasonably believe that the hourly rate range for this position is between $22.44 and $26.44.
