Your responsibilities
Job Summary This position is Level II support and HR transaction maintenance for our Workday HCM system for all tkmNA companies across the US and Canada. The position provides cross-functional support to HR Business Partners, Benefits, Finance, and Information Technology in projects related to HR/Payroll process improvement, compliance, and audit requirements. Provides coordination and support for a specific set of assigned HR programs and initiatives. Evaluates programs for conformance to the overall goals and objectives of the organization and compliance with internal controls. Responsible for the ongoing data administration audits in support of Workday modules including: Core HCM, Recruiting, Onboarding, and other modules as necessary. This position will manage and monitor Workday business processes, resolve issues related to workflow, and support release testing for both functionality and end user roll-out. This position will be lead in training new Data Administrators as well as assisting in onboarding new recruiters to demonstrate the proper utilization of the system. Workday Process Administrator

  • Provide support for Workday business processes, including researching and resolving functional Workday problems, unexpected results, or process issues.
  • Supports HR users with completing business process workflows as needed.
  • Manage daily tasks for HR Administrator security group, including reviewing business processes for accuracy and policy compliance.
  • Support development and implementation of proactive change efforts for HR business process improvements, including enhancements to end user experience.
  • Conduct regular data audits and partner with HR Business Partners to ensure data accuracy and drive process completion.

HR Transaction Support

  • Manage HR service requests that have been escalated from the Level 1 Employee Care customer support team and ensure accurate completion within established SLAs.
  • Responsible for data entry for select data attributes within the Workday system.
  • Provide support to HR users, employees, and managers with HR master data transactions in various Workday modules
  • Manage escalations of urgent issues while maintaining integrity of SLAs to determine when exceptions can and should be made.
  • Develop work instructions and deliver training to field HR to support business process compliance.

Project Delivery / Ongoing Implementation

  • Document Data Team procedures and develop process workflows to promote structure and ensure legal compliance (i.e. wage and hour laws, data protection laws, etc.)
  • Support ongoing Workday implementation, optimization, and adoption. Support documentation of requirements, configuration, test scripts, user acceptance criteria, and functional delivery.
  • Identify areas for improvement within the business processes and research system functionality/trends (leverage resources such as Workday Community).
  • Support deployment of new features and functions in Workday modules and data migration from legacy HR technology systems.
  • Support transfer of knowledge to new team members and end users in HCM and Recruiting workstream. Conduct live demonstrations of process flows, address user questions, and obtain feedback for enhancements.

HR Programs

  • Manage and/or support various HR Programs (including, but not limited to) Travel & Expense, Tuition Reimbursement, Employee Recognition, and Document Management.
  • Document current processes and create forms, work instructions, and work flows to ensure compliance. Identify opportunities for data integration via systems interface and/or Workday business process workstream.
  • Manage/support corporate expense and credit card process, including approvals, account reconciliation, reporting, and delinquent accounts. Partner with regional headquarters to ensure data accuracy in related systems (Concur, Egencia, AmEx@Work).
  • Manage/support Education Assistance program, including processing of employee reimbursements and regular audits to ensure policy compliance.
  • Administer/support employee service and recognition awards program.
  • System Administrator for personnel file document management. Manages user access and develops and delivers training to end users. Develop and maintain document management and records request process in compliance with applicable policies and compliance regulations. Support change management effort to ensure consistent process across all business units

Knowledge, Skills, and Abilities

  • Strong attention to detail, process orientation, and quality of work.
  • Ability to manage data for complex organization with variances in pay rules, state requirements, and union rules.
  • Ability to work effectively in a high-volume, fast-paced HR Operations environment.
  • Clear and concise written and verbal communication skills.
  • Ability to manage multiple projects with competing deadlines.
  • Experience with using logic and proven methodologies to solve difficult problems with effective solutions.
  • Discipline to work with highly confidential information and ability to critically analyze data input/output for accuracy and effectiveness.
  • Proficient in Microsoft Office applications, particularly with MS Excel.

Education and Experience

  • Bachelor's degree in Human Resources, Information Technology, or related field
  • 3-5 years' of experience working within a corporate/centralized HRIS department with a solid understanding of HR practices, reporting and analytics needs
  • Prior responsibility for managing employee data in HRIS and/or Time & Attendance systems (Workday preferred)
