Job Summary

The Physician Referral Liaison (PRL) program works closely with external physicians to promote priority service lines for patient referrals to UC Davis Health from outside physicians. The Physician Referral Admin Analyst serves an important role on this team by supporting the PRLs while they are in the field, providing analytical and administrative service support including development and maintenance of the Salesforce database, data aggregation and management, monthly reporting, service recovery, special project support, inventory management, event planning and implementation, expense planning and filing, and other administrative duties as assigned. This role is part of the Public Affairs & Marketing Department reporting to the Digital Metrics and Analytics Supervisor within the Marketing Team.

Minimum Qualifications

  • Training in marketing, business, health or data sciences.
  • Experience in administrative support, data analytics, or project management in marketing related field.
  • Experience project managing marketing communications for use across multiple platforms (print, digital and social) to reach and engage audiences. This includes the use of project management software.
  • Demonstrated use of writing, proofreading and editing skills to use language effectively and creatively, apply AP style guidelines, recognize and use correct English grammar, spell and punctuate correctly and understand and translate complex concepts into lay terms.
  • Skills to research, collect, analyze and interpret data from a variety of sources and utilize problem-solving skills to define problems and implement solutions.
  • Proficiency in Microsoft Excel, including the ability to analyze data, create reports, and use advanced functions such as pivot tables and lookups.
  • Proficiency in Microsoft Outlook for detailed appointment scheduling management duties.
  • Experience with CRM and/or Salesforce in particular.
  • Willingness to closely follow HIPAA and other privacy regulations and related documentation requirements.
  • Must have ability to accept direction and edits and to exercise tact and sensitivity when editing for colleagues and key stakeholders.
  • This is a visible position that represents the medical center in all interactions with physicians, staff and all levels of management - both internally and to external clients.
  • Must be comfortable working under pressure with the ability to multi-task, set priorities and work effectively using problem-solving and critical thinking skills.
  • Excellent oral communication skills: ability to interact effectively, courteously and cooperatively with a wide range of individuals, including faculty/physicians and staff, business professionals, news reporters, patients, consumers and vendors. Ability to establish and maintain positive working relationships throughout the University, health system and community.
  • Excellent organizational skills: ability to manage multiple projects simultaneously for administrative support, prioritize work independently, manage and meet multiple deadlines, work quickly and with minimal supervision, showing independent judgment, accuracy and initiative.
  • Ability to anticipate problems and recommend and/or implement changes and solutions.
  • Ability to work well independently and part of a collaborative team to accomplish multiple, high-priority tasks; be highly resourceful.
  • Exceptional customer-service skills, including problem-solving, cooperative language, empathy, flexibility and the ability to work with clients and staff within the department for quick and effective responses and problem-resolution. Ability and willingness to support institutional customer service requirements.
  • Ability to maintain and understand the need for professionalism at all times.
  • Willingness to learn and adhere to the UC Davis Principles of Community and CLAS Standards.
  • Demonstrates an understanding of and adheres to privacy, confidentiality and security policies and procedures related to Protected Health Information (PHI) or other sensitive and personal information.

Preferred Qualifications

  • Bachelor's degree in marketing, business, health or data sciences
  • Health care marketing/sales/analytics related experience
  • Experience working in health care environment
  • Event planning and coordination experience.
  • Experience creating reports in Tableau, including dashboards
