The Compliance Specialist will serve as a centralized point of contact and will collaborate and work closely to support Airgas businesses in the preparation of customer compliance-related documents such as quality, environmental, health, and safety, with a high degree of accuracy, and in any combination of the following: spreadsheet creation, account maintenance, third party platforms, interaction with other Division/Region/Business team requests received into a shared inbox. The Compliance Specialist will work closely and cohesively with the SA Business Management team, as well as other internal teams in Airgas.

JOB SUMMARY:

The Strategic Accounts Compliance Specialist through daily interactions with Airgas Regions, Divisions and businesses will review, create, prepare and respond to customer required forms and documentation received into a shared inbox. As a centralized point of contact for Airgas internal stakeholders will provide response to key performance criteria as requested by Airgas Customers, Suppliers and Vendors; Supplier qualification questionnaires, vendor/credit applications, quality forms, environmental, health and safety assessments/documents, and sustainability forms, sent to Airgas and in customer platforms. Responsible for maintaining Airgas' supplemental documentation shared with customers and works closely and cohesively with multiple teams in the organization. This role also manages third party supplier compliance databases for Airgas Businesses requiring same/similar key performance criteria to support customer retention.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Process, comprehend, and comply with customer compliance information as it relates to supplier qualification and questionnaires, to include government compliance documentation, received from customer inquiries and third-party requirements.

This includes but is not limited to:

  • EPA and OSHA forms, regulations
  • Supplier qualification, certificates of insurance, remittance, compliance with laws
  • Department of Transportation (DOT), compliance and training documentation
  • Federal Acquisition Regulations (FAR/DFARS), certifications
  • Corporate Responsibility areas; sustainability
  • Third Party Platforms, i.e. ISNetworld, Avetta, Ariba, GRMS, Veriforce

* Contribute to research efforts to identify accurate information to remain consistent with company approach for customer driven requirements in the areas above through varied formats, online (portals), documents/forms/surveys to include conducting product research in SAP, Business Warehouse, or other company reporting systems.
* Process required customer documentation with a high degree of accuracy liaising with subject matter experts in area(s) requiring additional information and escalation for approval.

* Prepare and respond to required safety and compliance information, drafting information as necessary to meet customer compliance requirements, working collaboratively with Legal, Human Resources, customer experience and regional safety teams, eBusiness, Risk Management and SAFECOR (corporate safety team) and other key personnel on time sensitive documentation for our customers.
* Maintain Compliance tracker (utilizing Smartsheets) to track, assign and monitor completion dates for assigned questionnaires, working with team to coordinate shared inbox coverage.
* Track monthly the company's OSHA stats in OSHA tracker by third party to provide monthly and quarterly OSHA status updates as provided by SAFECOR for Airgas business entities in order to meet data requirements and deadlines set in third parties.
* Review, evaluate and prepare documentation for Airgas business entities to ensure completeness and accuracy prior to submitting information to the customer or third-party site.
* Communicate effectively to all levels of Airgas to research and solve customer-related issues on compliance information for Airgas.
* Manage the daily account maintenance required in Airgas third party sites; i.e., ( ISNetworld, Avetta, Veriforce, GRMS) addressing discrepancies, failing grades/ratings or flag statuses impacting business in these specific platforms on behalf of Airgas Division/Region/Businesses.
* Provide status updates and regular communication to Airgas stakeholders with strategic account customers related to current status in third party sites subscribed. This includes providing information and documentation required to achieve customer acceptability scores in these sites.
* Responsible for maintaining the certificate of insurance third party renewal process to include tracking Airgas Certificate of Insurance status in insurance tracker by third party site; expiration, endorsements, issue dates, and rejected/ accepted statuses.
* Works closely with Risk Management and Airgas Insurance Broker during renewal season to request (new/renewed) certificates of insurance for Airgas customers subscribed to third parties for Airgas businesses.
* Provide administrative guidance and support for special projects to include research, compiling data and preparation of large supplier packages.
* Responsible for tracking and processing invoices for approval and sending through for corporate processing of third-party subscriptions in excess of $501.
* Develop and maintain good working relationships with key stakeholders including strategic accounts business management teams, customers, management, sales field, regions/divisions, and other company business entities.

Required Education:

* Bachelor's degree preferred, but not required
Required Length & Type of Experience:
* At least 2 years of experience working in a fast-paced business environment, position experience
in a compliance or project coordination role preferred.
* Intermediate to above skills using Microsoft Word, Excel

* G Suite Experience highly desirable (Google Applications) to include; Sheets, Docs, Slides, Forms
* Willing to obtain knowledge of Federal Government and Regulatory Compliance regulations

Knowledge, Skills & Abilities:

* Ability to read, analyze, and interpret complex instructions such as procedures, operation and
maintenance manuals, and procedure manuals.
* Working knowledge of or willing to obtain in Smartsheets, AbbyFine Reader and Adobe Pro software
* Familiarity with industrial gas, safety, and hardgoods business a plus
* Experience in reporting systems and tools such as; SAP| Salesforce| Business Warehouse |Power BI
* Ability to function as both a strong team player and as an independent contributor
* Research skills including gathering and analyzing information from multiple sources (subject matter experts) to develop documentation.
* Strong written and oral communication skills with internal/external customers at all levels of the organization.
* Must be able to multitask, have exceptional verbal skills, and can communicate clearly over the phone or in written form.
* Demonstrated ability to interpret and comprehend customer contract language and present complex information to co-workers and customers.
* Demonstrated time management skills
* Ability to relate to all levels of employees within the organization and to deliver on projects and activities using both an individual and team-based approach.
* Self-motivated individual with strong background in solution resolution process and customer service
* Experience serving on cross-functional teams; working effectively with those teams to achieve desired results
* Ability to work with multiple teams, multiple data requests, ability to prioritize, and work independently
* Excellent organizational skills with high-level attention to detail.
* Ability to work independently and under some pressure to meet deadlines.
