Summary:

Goldbelt Frontier LLC seeks a highly skilled closeout specialist for an anticipated five-year project. You will be vital in facilitating and managing all aspects of meetings, conferences, and events organized by the Department of Health and Human Services (HHS). You will work closely with HHS officials, stakeholders, and other contractors to ensure the seamless execution of meetings and events that support the department's mission and goals.


Responsibilities

Essential Job Functions:

  • Meeting Planning and Coordination: Coordinate all logistical aspects of meetings, including venue selection, room setup, audiovisual equipment, catering, transportation, and accommodations.
  • Event Management: Manage the end-to-end planning and execution of events, including conferences, seminars, workshops, and summits, ensuring compliance with HHS guidelines and policies.
  • Budget Management: Develop and manage budgets for meetings and events, ensuring cost-effectiveness and adherence to budgetary constraints.
  • Stakeholder Engagement: Collaborate with HHS officials, program managers, and external stakeholders to understand meeting objectives, requirements, and expectations and provide tailored support to meet their needs.
  • Vendor Management: Identify, select, and negotiate contracts with vendors, suppliers, and service providers to secure necessary resources and services for meetings and events.
  • Logistical Support: Provide on-site support during meetings and events, managing registration, greeting attendees, coordinating speakers and presenters, and addressing any unforeseen issues or challenges.
  • Communication and Documentation: Maintain clear and effective communication with stakeholders, contractors, and team members, and ensure accurate documentation of meeting plans, timelines, and outcomes.
  • Compliance and Reporting: Ensure compliance with federal regulations, HHS policies, and contractual requirements, and prepare reports on meeting activities, expenditures, and outcomes as required.

Qualifications

Necessary Skills and Knowledge:

  • Strong understanding of federal regulations, compliance requirements, and procurement processes related to meetings and events.
  • Excellent organizational, time management, and multitasking skills, with the ability to manage multiple projects simultaneously under tight deadlines.
  • Exceptional interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders and build strong relationships.
  • Proficiency in event management software, Microsoft Office Suite, and other relevant tools and technologies.

Minimum Qualifications:

  • Bachelor's degree in hospitality management, event planning, business administration, or another relevant study area
  • Six (6) years of relevant experience
  • US Citizen (by birth or naturalization)

Preferred Qualifications:

  • Master's degree in relevant area of study.
  • PMP Certification.

The salary range for this position is $82,000 to 124,000 per year .
