POSITION SUMMARY: Position: Nurse Scheduling Operations Specialist Department: Brockton Behavioral Health Center Schedule: 40 hrs (Days) ESSENTIAL RESPONSIBILITIES / DUTIES: Manages BMC's time and attendance software in collaboration with unit manager and unit schedulers. Coordinates timelines for staff schedules with staff and managers for upcoming schedules. Ensures that schedules are accurately displaying in the time and attendance software by making daily schedule alterations. Facilitates the defined process for schedule preparation, schedule posting, daily staffing sheets and exception logs. Tracks and collects employees' hours; reviews employee hours against the scheduled time to work, tracks leaves and vacation/sick time for nursing and mental health specialists. Ensures that staff are coded to their specific assigned role on any given shift including charge, preceptor, orientation, and training pay codes Updates weekly timesheets for manager/director review, and in the absence of manager/director, submits timesheets to Payroll Department. Serves as first point of contact for payroll questions and corrections for all department employees. Works with managers and staff to resolve employee payroll issues, drawing on appropriate BMC resources. Collaborates with the department's educators in creating an orientation schedule for all new staff. Schedules all mandatory trainings for staff. Works in collaboration with departmental educator in maintaining departmental educational, manuals and records. Assists with the preparation of staff personnel records for regulatory review. Provides backup support for other administrative staff during breaks and time out of the office. Assists with project management and follow-through. Participates in quality improvement teams as required. Deals discreetly with confidential information concerning professional and patient issues including correspondence, test results, billing data, etc. Creates reports, spreadsheets, presentations and other correspondence requested. Plans, organizes and coordinates departmental receptions, meetings or functions, obtaining assistance as necessary. Maintains open communication lines with other departments. Acts as liaison with internal and external customers. Meets hospital-wide standards in the following areas:

Job Requirements EDUCATION: Bachelor's degree or equivalent combination of education and experience. CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED: None. EXPERIENCE: At least three years minimum experience in a similar office setting. Competence in Microsoft Office applications. Previous experience using Kronos time and attendance preferred.
