Description
Under the direction of the Executive Center Director with a dotted-line report to the Chief of the Division of Oral Health, the Dental Practice Manager will be responsible to manage the day-to-day operations of the Pediatric Dental Clinics. S/he/they will be responsible to maintain a productive and professional environment, promote excellent internal and external customer relations and coordinate the assignment of tasks to the clinical and administrative support staff. Will supervise the performance of clinical and administrative support staff and ensure efficient and cost effective operations within area of responsibility. Will maintain oversight of clinical and administrative supply chains and both quality and regulatory compliance with regards to CNH Policies and Procedures, OSHA/MOSHA standards and in accordance with all applicable laws and regulatory organizations (i.e. ADA/CODA, JC, DOH). Additionally, the Oral Health Clinic Operations Manager will be responsible for the coordination, monitoring and development of clinical and administrative support staff as well as participate in the planning and implementation of Divisional initiatives and goals and other duties as assigned.
Qualifications
Minimum Education High School Diploma or GED (Required) Bachelor's Degree Bachelor's degree or equivalent experience in a related field (Preferred)
Minimum Work Experience 7 years Related and progressive experience; Oral health experience (Required) 5 years Supervisory experience (Required)
Functional Accountabilities Strategic Planning
- Participate in the strategic planning for Division services, including both short-term and long-term objectives.
- Participate in the planning for new business opportunities and services in support of the CNH mission.
- Maintain effective working relationships with hospital departments and Regional outpatient centers and represent CNH in professional groups and community outreach activities.
- Assist with marketing of department/ROC with Public Relations, the external referring physicians provider(s), internal departments and physicians provider(s).
Administrative Management
- Participate in the implementation and evaluation of clinical and administrative services, programs, and performance standards to achieve divisional goals.
- Coordinate daily activities of clinical and administrative support staff with regard to workload requirements and available resources.
- Provide troubleshooting, problem-solving and backlog reduction expertise to clinical and administrative staff.
- Monitor appointment and registration quality, report problems and recommend solutions to ensure standards are met.
- Monitor clinic flow, implement performance improvement initiatives to ensure provider and staff productivity.
- Serve as primary contact for all administrative and clinical services for all practices, including to schedule template building, materials management, clinical and administrative staff support and communicate as necessary with relevant parties.
- Develop, implement and monitor individual clinical and administrative staff personal and professional development plans.
- Coordinate, participate and provide oversight of all clinical and administrative staff related HR issues.
- Participate in coordination and staffing of community activities.
Compliance
- Promote awareness of and adherence to organizational, state, federal and programmatic regulatory standards to ensure quality of patient service delivery.
- Participate in the ongoing assessment of divisional operations policies and procedures to establish continued feasibility.
- Accountable to participate in the Division of Oral Health's Performance Improvement process.
Facility Management and Space Planning
- Responsible for the provision of a safe, secure, clean work and patient care environment including the full functionality of clinical and administrative equipment and being able to interact with the applicable business contacts/service vendors to ensure the availability of services at all times.
- Monitor space utilization to ensure proper use of space and expansion needs are met.
- Responsible for oversight of clinical equipment PM, maintenance schedules and administrative and EMR updates, PM and maintenance as well as payment for services.
Budget and Financial Analysis
- Prepare documentation and projections to support the operating and capital budget planning process.
- Evaluate and recommend purchase of new equipment needed to maximize productivity and quality of care.
- Implement actions to facilitate meeting budget requirements and administer programs within budgetary guidelines.
Charge Entry Processing
- Ensure daily reconciliation of schedules and charge documents occur; charge documents are complete with CDT, CPT and ICD-10 coding; demographic changes have been made in the system, and appropriate referrals are attached.
- Coordinate the verification of insurance eligibility and coverage and authorization with 3-rd party revenue cycle vendor as needed.
- Respond to inquiries and complaints regarding Charge Entry.
- Coordinate Reimbursement Associates to ensure timeliness and accuracy of charge entry
- Coordinate and participate with oversight of 3rd party vendor providing revenue cycle services.
