General Responsibilities |
Provides a full range of professional administrative support to the Director and Assistant Director for the Center for Learning Excellence and as-needed support to the Associate Vice President for Faculty Development and Learning Innovation. This position requires a high degree of accuracy, accountability, attention to detail, professionalism, and confidentiality. |
Work Performed |
- Supports the CLE team's project management initiatives and implementation, data gathering and analysis. Assists the Director of CLE with catalog updates.
- Assists FDLI Program Manager with coordination of procurement process for the CLE. Tracks budget items, organizes vendor information, and communicates with vendors as needed. Initiates security review of CLE software licenses. Facilitates and reconciles P-Card transactions. Responsible for coordinating and ordering supplies and maintaining inventory of supplies.
- Generates and approves CLE-generated PD (Professional Development) sessions in PowerSchool. Provides coordination and logistical support for training, conferences, and PD. Professional Development event planning to include scheduling facilities, conference and classrooms, organizing catering and ordering food & drinks. Manages, plans, and oversees work orders with plant operations, information technology, and the mailroom. Organize session materials, track enrollment, attendance, and provide communication follow-ups.
- Performs advanced document creation, compilation, and editing for a variety of CLE team projects. Designs and edits sophisticated spreadsheets, slides, PowerPoints, macros, graphs, forms, tables, and internal promotional materials. Performs data entry and data collection, collating it into usable documents for analysis as part of ongoing data checks, core work, and ad hoc requests. Analyze data to compile into reports, and communications.
- Utilizes knowledge of the Student Information System (Colleague) and other college systems to check semester schedules, courses, faculty assignments, and accessing confidential student/staff records to resolve service tickets, provide information for reporting, communications, and data collection efforts.
- Coordinate event and conference booking with CLE members. Assist the FDLI Program Manager in the creation and maintenance of forms, communication, approvals and tracking of expenses related to division conference/travel requests.
- Assist the FDLI Program Manager in the facilitation of the IDEA survey by pulling data for course and program reviews, populating data in course and program review formats, monitor the IDEA email box and respond to student and faculty inquiries.
- Responsible for updating the CLE and 7-week portal pages. Monitor and work with PRM (Public Relations and Marketing) on updates to the website. Maintain electronic files for CLE. Coordinates with PRM in the creation of flyers, monitor submission, promotional materials, and branding. Creates internal fliers and infographics.
- Documents and maintains CLE internal Standard Operating Procedures (SOPs).
- Responsible for the onboarding of new CLE staff, interns and work-study students including working with Human Resources, Financial Aid, and the Internship office. Supervisor for work study student(s). This includes training, general orientation, completing reference checks, document submissions, coordination of schedules, and evaluation of work-study students and interns. Hiring coordination with Teaching and Learning Service Centers regarding adjunct faculty on-boarding.
- Initiates communication to HCC departments regarding the collection of NC-SARA data, assists with training, processes data collection, understands compliance obligations, and communicates with staff, faculty, and NC-SARA. Communicates to the CLE team changes to NC-SARA's rules and regulations.
- Creates CLE meeting materials; attends meetings; records and produces official and unofficial meeting minutes. Participates, assists, and gathers materials for teams, special events and committees.
- Coordinates, schedules, and supports videoconferencing webinars through the ticket system. Administers sign up process and serve as the technology expert at the practice session.

KNOWLEDGE REQUIRED
- Associate's Degree in a relevant field and/or two years of applicable administrative experience
- Ability to operate all standard office equipment including a computer, copier, scanner, and other equipment.
- Ability to work and communicate effectively with diverse constituencies.
- Ability to take independent initiative while functioning as part of a team with limited supervision.
- Ability to adapt proactively to changing work demands and priorities while maintaining a positive attitude and demeanor.
- Ability to produce technical and complex documents.
- Possesses complete knowledge of Microsoft Office and Google Suite.
- Experienced with online editing and scheduling tools.
OTHER REQUIREMENTS
- Ability to work in a fast-paced and stressful environment with multiple demands for attention.
- Ability to perform multiple tasks simultaneously, take initiative, assess situations, and respond appropriately and efficiently. Flexibility and adaptability are key characteristics for this position.
- Experience working on higher education initiatives.
- Ability to communicate effectively, both verbally and in writing.
- Ability to maintain strict confidentiality.
- Regular attendance is a requirement of this job.
- Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
- Flexibility required, must be able to work occasional Saturday.
SUPERVISION
- Acts as interim FDLI Program Manager when regular staff are not available.
- Acts as back-up supervisor for Work Study Interns/Work Study Students (2-4 part-time)

Working Conditions |
Responsibilities involve deadline-driven conditions. Must be able to work overtime and outside of normal daytime working hours when necessary to complete assignments. |
