Project Assistant / Technical Editor

We are seeking a detail-oriented and proactive Project Assistant / Technical Editor. The ideal candidate will facilitate project execution by ensuring that all documentation and processes are organized and efficient, while also providing technical editing support for project-related documents. Strong attention to detail, excellent communication skills, and the ability to collaborate with various stakeholders are essential for success in this dual role.

Responsibilities:



  • Facilitate the creation and distribution of project-related communications.
  • Prepare and maintain comprehensive project documentation, including plans, reports, and meeting notes.
  • Edit and format engineering documents and other technical materials for clarity and consistency.
  • Prepare Project Management Plan reports in collaboration with the project manager for new projects.
  • Proofread, revise, and edit technical documents to ensure clarity, consistency, and adherence to standards.
  • Evaluate documents for completeness, style, syntax, and usage, providing tactful feedback to authors with varying levels of experience.
  • Prepare documentation for regulatory audits and inspections.
  • Assist engineers and project managers in modifying documents for accurate and precise descriptions of activities or policies.
  • Assist in the preparation of status reports for stakeholders.
  • Assist with progress reports, invoicing, and financial documentation.
  • Stay informed on project management and technical writing best practices and tools.
  • Ensure clear and effective communication of project information.
  • Assist project managers with day-to-day administrative tasks and project coordination as needed.
  • Organize and track project files, ensuring all documents are up-to-date and easily accessible.
  • Coordinate travel arrangements for project managers and teams.
  • Schedule and organize project meetings, including preparing agendas and taking minutes.
  • Request, track, and manage certificates of insurance to meet contractual requirements.
  • Prepare, distribute, and track subconsultant agreements and assist with change order documentation as needed.
  • Update progress and maintain project schedules and databases
  • Support project managers in monitoring project budgets and expenses.
  • Provide feedback on project processes and suggest improvements.


Qualifications:



  • Bachelor's or Associates Degree in Business Administration, Project Management, Technical Communications, Journalism or a related field, or equivalent years of experience in a similar role. Further education and refresher training will be required for this position on an as needed basis.
  • 4 + years of technical editor experience preferred.
  • Knowledge of grammar, technical formats, general business writing, and technical writing/editing techniques, levels, and processes.
  • Proficient in Microsoft Word and possess the ability to develop and revise a wide range of document types.
  • Ability to edit, write, and/or rewrite procedures, and other materials to communicate clearly and effectively.
  • Ability/train on the job to exercise quality control over documentation intended for internal and external distribution.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively in a team environment.


Compensation Package:



  • Pay Range: $58,000 - $80,000
