Summary:

In this role, you will manage the reception desk and serve as the first point of contact for internal and external guests. You will greet and direct customers, vendors, and business associates and notify appropriate personnel of arrival. You will answer and screen incoming calls in a professional manner and direct them to the appropriate destination. You will represent the company in a positive manner and provide superior customer service.

Responsibilities:

  • Maintain a neat and orderly reception area with materials displayed for visitors and staff.
  • Respond to phone calls in a professional tone within two rings. Route calls to appropriate employees or departments. Provide callers with information requested in a timely manner.
  • Maintain and update visitors sign in journal, provide feedback on procedure enhancements.
  • Maintain control level of access badges to be sign in/ out. Update and keep track of card issuance, and provide feedback on cards not returned to Security manager and Workplace manager. Issue staff access cards as directed.
  • Ensure the reception desk procedural guide is up to date. Present to workplace manager quarterly for review and provide service enhancement feedback as needed.
  • Maintain a neat and orderly luggage closet.
  • Provide support to Workplace team to assist with inputting service tickets, access requests, office space information, directional guidance to navigate within the office space and administrative support.
  • Provide administrative support by inputting building service request, Remedy tickets, vendor certificate of insurance tracking and filing, ordering of flowers, and assigned projects.
  • Maintain certificate of insurance spreadsheet to track, update vendor compliance of required certification.
  • Operate and understand usage of Aiphone camera system. Open work tickets to resolve any technical issue with the system.
  • Provide support to Workplace managers for projects, office support, communication, vendor management or tasks assigned to support department and Vizient's office space.

Qualifications:

  • Relevant degree preferred.
  • No experience required.
  • Knowledge of MS Office Suite (Outlook, Word, and Excel) required
  • Previous experience in a reception role preferred.
  • Previous Hospitality or Office support service experience preferred
  • Ability to always maintain a professional demeanor and polished appearance.
  • Ability to work well under pressure in a fast-paced environment and exercise sound judgment and discretion.
  • Knowledge of/or the ability to learn Workday, Adobe Reader, Eden hotel software.
  • Knowledge of/or the ability to learn Remedy Force ticket software application.
  • Able to successfully certify in AED/CPR Training.
  • Possess strong customer service skills with the ability to communicate effectively, and collaborate with all levels of the organization.
  • Strong organizational skills, diligence, and the ability to multitask.
  • Must be able to work Monday through Friday from 8:00AM to 5:00PM (cst).

Estimated Hiring Range:

At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $31,100.00 to $48,100.00.

This position is also incentive eligible.
