Characteristic Duties and Responsibilities

Performs duties of a highly responsible and confidential nature to assist in the processing and direct student support in the Registration and Academic Records. Work requires comprehensive knowledge of departmental and college operations, policies and procedures, and the exercise of independent judgment, including discretion in the resolution of student problems and details. Attains full proficiency in a specific area of discipline. Works under the direction of the administrative staff in the Registrar's Office.

  • Operational Support: Works with student academic records current, computerized and archived hardcopies. Performs registration for students as necessary, including overloads, etc. Except payments and research payment issues as necessary. Responsible for Clearinghouse report processing, errors, and corrections. Assists with transcripts via the Clearinghouse, knowledge of process and prepare hard copy transcripts, answer transcript emails, process all archived transcript requests, walk-in requests, process university partnership transcripts and manual correct (as needed) of transcripts using student database. Process CPLE request forms for the downtown Milwaukee Campus. Assists with student account appeals, communication to students, and account adjustment. Assists with receptionist duties, registration front desk and including directing students and visitors to the correct department including mail tasks. Scanning, workflow, and data entry. NSC verifications, degree verifications, and manual correction of records. Assists with verifying enrollment and loan deferments. Responsible for veteran support, communication and assistance to veterans. Process grade changes, instructor withdrawals. Responsible for non-attendance rosters and processing administrative withdrawals.
  • Correspondence and Communication: Answer phones, respond to emails, assist with departmental email accounts, and assist walk-ins with registration needs, forms, questions, etc. Ability to run reports. Responsible for responding and processing registration email accounts. Assist with the de-registration process and communication to students and troubleshooting de-registration issues. Completes word processing, filing, and composing routine correspondence and maintains records.
  • Equipment operations and maintenance: Operates personal computer and/or laptop, calculator, photocopying, fax machine and other office equipment. Duplicate records and residency determinations as needed. Receives, opens, prioritizes, distributes, and re-routes mail. Maintains and orders office supplies, equipment and materials needed for the department. Assists with the implementation of new software programs, testing, and updating current software as needed
  • Committee Involvement: May be asked to participate in cross-functional committees as needed.
  • Continuous Learning & Professional Development: Maintain current knowledge of best practices and standards in accounting with an emphasis on community Colleges. Actively organize and/or participate in applicable workgroups, committees and professional associations or conferences to promote continuous learning. Participate in trainings and workshops to increase knowledge, awareness, and practice of the College's diversity, equity, and inclusion initiatives.

  • Other duties: Perform other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.


Qualifications

Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures.

Required Education:

  • High School Diploma and one (1) year additional coursework in a postsecondary school.

Required Experience:
  • Must have a minimum of two (2) years of office experience. Bilingual English/Spanish required.

Preferred Education:

  • Associate Degree

Preferred Experience:

  • Four (4) years of office experience

  • Able to deal with interruptions and work in a fast-paced office environment

Physical Demands
  • Ability to lift up to 15lbs, carry, and push up to 20lbs and ability to pull up to 20lbs
  • Sitting/Standing/Walking: 80% of time spent sitting, 15% of time spent standing, 5% of time walking
  • Ability to stoop, kneel, crouch, reach, hear and speak



Supplemental Information

Start Date: This position is available to start immediately.

Hours/Location: 38.75 Monday - Friday on-site

Hourly Rate: Salary determination will be only based on years of credited experience that is listed on the job application, please include complete work history.
