The Vault Custodian is responsible for all functions related to vault tracking/maintenance of Retail, Commercial, and Construction loan files, imaging, quality control, and filing. Performs other projects and duties as assigned. Essential Functions, Duties, and Responsibilities: * Vault Tracking: Serves as the primary point of contact for maintaining and accounting for all files/documents requested from any Line of Business (LOB), internal bank employees, auditors, or investors. Original files/documents should not leave the vault without a proper request and valid reason for needing originals since documents are imaged. Responsible for ensuring originals leaving the vault are properly tracked and follow up of return as per procedures. These responsibilities encompass all vault files/documents, including paid/closed loans. * Maintains paid/closed loan file requests and ensures that aged files are sent to off-site storage for retention, ensuring any files sent to off-site storage are imaged prior to shipment and logged. * Vault Maintenance: Ensures a constant and continuous flow is maintained in the vault when re-organization of files/documents movement or shifting is needed for utilizing space wisely and for future growth. Documents that must remain on-site need to be properly filed and maintained. * Research: Responsible for researching any missing files/documents. Ensures original files/documents are returned to the vault in a timely manner as per procedures. * Prep/Imaging/Quality Control: Prepares, images, and QC's all files and trailing/miscellaneous documents in a timely manner as dictated by Bank procedure. * Filing: Maintains a proper filing system and ensures files/documents are filed properly and orderly. * Proactively communicates information to management when issues arise that may hinder the workflow process. Communicates any obstacles that may arise and works together with the team and management in finding a resolution. * Performs quality assurance audits. * Completes compliance training, adheres to all anti-money laundering guidelines and procedures, and all regulatory requirements. Required Knowledge, Skills and Competencies: * Computer and Microsoft Office proficiency. * Able to effectively and persuasively express self, using language and grammar in a professional manner. * Able to plan, organize and prioritize tasks. * Highly motivated team player with ability to provide interactive service to others, building relationships and addressing identified needs. * Able to manage and organize a high volume of documents. * Able to read, analyze and interpret documents. Industry and Work Experience: * 1 or more years of experience in a related role working relevant bank vault documentation storage or imaging systems preferred. Academic: * High school diploma or GED required. * Bachelor's degree in Business or related field preferred.
