Job Description

The College of Arts and Science is hiring an Office Support Assistant IV to join the Advancement team as an Administrative Assistant for fundraising efforts. This position reports directly to the Executive Director of Advancement, collaborating closely with the Dean, other team members, and unit staff to support fundraising efforts.

Administrative work will include:

  • Assisting Executive Director with calendar and appointment coordination, travel arrangements, and expense reports
  • Aiding with top prospect/donor research and strategy execution
  • Carrying out donor engagement and stewardship tasks, such as processing paperwork, preparing thank you notes, generating content for stewardship reports, coordinating award nominations, and arranging logistics for intimate donor gatherings/donor visits to campus
  • Running productivity and financial reports and helping maintain donor records
  • Communicating with the fiscal team to learn about account management and provide insights for optimized gift fund utilization
  • Executing and coordinating tasks for annual fundraising projects in collaboration with campus partners to ensure successful implementation
  • Completing other development related tasks as needed to grow the capacity of the fundraising team

Shift

Hours will generally be Monday to Friday, 8 am to 5 pm. Some flexibility and hybrid work may be available with supervisor approval. Occasionally nights and weekends and some travel may be required.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Bachelor's degree or equivalent experience (5+ years) in a relevant field, demonstrating the necessary knowledge and skills.
  • Proven ability to thrive in a fast-paced, collaborative work environment focused on performance and outcomes.
  • A collaborative team player who contributes to team success through high-quality work and information.
  • Excellent communication and organizational skills, with a strong work ethic, personal integrity, and emotional intelligence.
  • Strong willingness to learn and adapt to new technologies, including proficiency in Microsoft Word, PowerPoint, Excel, Teams, Power BI, Adobe, and others.
  • Commitment to continuous learning and professional development, particularly in areas that support the University's fundraising and advancement efforts.
  • Confidence in engaging with donors and alumni constituents.
  • Willingness to travel occasionally within the U.S. for donor events, with prior notice.
Anticipated Hiring Range

Salary Range: $14.51 to $19.92/hour

Grade: GGS - 006
