Job Description:

The Human Resources Coordinator supports a variety of HR activities across all offices including, but not limited to, office procedures, new hire onboarding and orientation, compliance tracking, and personnel record maintenance. A hybrid work schedule is available for this position.

Location: Boston, MA; Chicago, IL; Los Angeles, CA; New York City, NY; Rochester, NY; San Francisco, CA; Washington, DC

  • Maintain employee personnel files to ensure accuracy, compliance, and confidentiality.
  • Coordinate new hire onboarding and orientation. This includes new hire calendar scheduling, booking conference rooms, securing lunch reservations, drafting new hire announcements and providing support as needed to ensure a smooth transition into the firm.
  • Process invoices and expenses as requested.
  • Process requests for gifts (e.g. memorial contributions and baby gifts).
  • Ensure the firm's HR intranet site is informative, up-to-date and accurate.
  • Work collaboratively across various sub-functions of the HR team.
  • Prepares and distributes compliance reports to internal stakeholders.
  • Support Regional HR colleagues with employee lifecycle initiatives.
  • Assist with special HR projects as required.
  • Perform other duties as assigned.

Job Requirements:
  • 1-3 years of administrative experience in a professional environment. Previous HR experience, or experience working with highly confidential information preferred.
  • High school diploma or equivalent required. Some college coursework in Human Resources, Business, or a related field preferred.
  • Ability to maintain high level of confidentiality and consistent professionalism.
  • Strong communication skills, both written and verbal.
  • Strong interpersonal skills with the ability to work effectively with individuals at various levels of the firm and from diverse backgrounds.
  • Excellent organizational skills and attention to detail.
  • Proficient with recordkeeping, reporting, and information management.
  • Proficiency with Microsoft Office including Outlook, Word, Excel, and PowerPoint.
  • Exceptional time management skills with the ability to manage tasks with overlapping deadlines.
  • Ability to work individually and as part of a team.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows:

  • Rochester, NY: $40,541 to $55,802
  • Chicago, IL: $46,622 to $64,173
  • Washington, DC: $48,649 to $66,963
  • Boston, MA: $48,649 to $66,963
  • Los Angeles, CA: $48,649 to $66,963
  • San Francisco, CA: $50,677 to $69,753
  • New York, NY: $50,677 to $69,753

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
