Job Summary
Assist with functions involved with procuring materials, products or services. Receive (using computerized material management system), stock, inventory, record, issue, and distribute supplies. Process matching of invoices, packing slips and PO's, account code and send to Accounting for payment. Sort and distribute incoming interdepartmental mail. -Provide phone and clerical support services for the Materials Management/Purchasing department. -Contact Purchasing department staff regarding backordered, and/or expedite damaged items or refused shipments. -Maintain stock levels. Maintain records, reports and files for department. Inventory storeroom and submit orders for supplies and materials. -Maintain correct inventories and notifies designated purchasing staff when numbers are off. -Receive, store and issue materials from stockroom and warehouse. -Responsible for the receiving, unpacking and inspecting of supplies. -Sort materials in appropriate bins, shelves, etc. -High level of accuracy expected to eliminate receiving error. -Pack and ship outgoing items for the clinic. -Sort interdepartmental and U.S. mail as per courier schedule. -Prepare outgoing UPS/FedEx packages to be picked up at Tulip Lane, Dock C. -Attend in-service and other meetings, including department meetings, to keep current on organizational activities and materials management trends. -Fill in and be back up for other receiving clerk. Job duties will be cross-trained. -Keep supervisor informed of changes in shipping, receiving or issuing supplies. -Follow security procedures for area and supply inventories. -Maintain strictest confidentiality. -Perform related work as required.
Education Qualifications
* High School Diploma and/or GED Required
Experience Qualifications
* Previous experience in purchasing/materials management field, receiving and mailroom Preferred
Skills and Abilities
* Skill in examining documents for correctness and interpreting their accuracy
* Skill in gathering, analyzing, and evaluating data
* Ability to prepare records in accordance with detailed instructions
* Skill in verbal and written communication
* Ability to examine orders for accuracy and completeness
* Ability to identify problems and recommend solutions
* Skill in establishing and maintaining effective working relationships with staff, vendors, outside delivery personnel and couriers
* Knowledge of materials management purchasing policies and procedures
* Knowledge of applicable computer applications
* Knowledge of purchasing functions including ordering, receiving, distribution, storing and organizing supplies
