Position Overview

POSITION SUMMARY
Provide students, visitors, faculty and staff with one-stop quality service by sharing accurate information and knowledge in the broad areas of admissions, advising, financial aid, registration, and other processes administered by Student Services, while utilizing the required skills and software to review and award degrees in compliance with University standards and accrediting body requirements. This position reports to the Registrar.

ESSENTIAL FUNCTIONS:

  • Responsible for the support of all departmental functions necessary for the daily operations of the Office of Admissions & Records, and for all activities related to the support of the One-Stop customer service model.
  • Responsible for specialized, detailed back-office tasks related to the Office of Admissions & Records including graduation application/degree awarding processes.
  • Coordination, communication and preparation for commencement exercises (live or virtual) to occur each fall and spring semesters.
  • Coordination and review of transfer transcript evaluations as they apply to the completion of entrance requirements, and confirmation of eligibility for admissions to specialized programs, such as EMS, Nursing, Occupational Therapy Assistant, and Respiratory Therapy prior to progression committee meetings each semester.
  • Review educational records for students applying for specialized programs listed previously.
  • Coordinate the digitizing and archiving of historical educational records paper, CD's, microfiche, etc. to ensure accuracy and efficiency of the process while maintaining compliance with federal and state record-keeping standards.
  • Responsible for completing Official Transfer Evaluations in the Banner Student Information System on all incoming transcripts from other colleges for all students.
  • Assist with administration of Who's Next Software for all Admissions & Records staff.
  • Cross training in other Admissions & Records areas in order to serve as primary backup for Academic Appeals and Change Forms.
  • Hire, train and supervise student employees including work-study students or student hires.
  • Evaluate and compare the information provided on the documents/graduation applications for consistency and accuracy, and request additional information if the information is incomplete or if there is a conflict between the information provided on one form when compared to the other documents.
  • Responsible for maintaining a Graduation and Degree Awarding procedures manual.
  • Coordinates with Academic Advisors and Educational unit staff/faculty regarding degree completion information (course substitutions, grade changes, catalog of record, degree evaluations, etc.).
  • Utilizes the imaging and indexing process in WebXtender to ensure accuracy and efficiency of the process while maintaining compliance with federal and state record-keeping standards.
  • Process incoming degree and education verification requests.
  • Must attend and assist at ENMU-Roswell commencement ceremonies each semester.
  • Provide support to other staff while maintaining a high level of confidentiality.
  • Perform other duties as deemed necessary or assigned.

ONE-STOP RESPONSIBILITIES:
  • Create an atmosphere of effective, efficient, friendly and reliable service, providing an easy, accessible, credible resource from which individuals can access information.
  • Serve as first point of contact for new students and community members, by disseminating college information including academic programs, enrollment processes and financial services.
  • Assist students in conducting registration activities such as understanding course offerings, adding, dropping, wait listing, auditing and withdrawing from courses.
  • Provide students with information regarding residency.
  • Assist students with online services.
  • Screen and schedule appointments for advisors, financial aid and/or other division staff.
  • Guide prospective students in determining appropriate entry level, completing admission documents, and meeting college requirements.
  • Refer students and visitors to college personnel, according to established protocol.
  • Assist with the development of policies and procedures, keeping the procedures manual current.
  • Ensure that all activities are conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).
  • Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe and efficient manner and with minimal supervision.
  • Assist with campus events (i.e., orientations; open registrations on campus and at satellite sites, college fairs, and commencement) and other special projects, as requested.

ESSENTIAL CROSS TRAINED FUNCTIONS:
Provide general information to students, including, but not limited to:
  • Financial aid awarded.
  • Missing tracking requirements for financial aid.
  • Explanation of current financial aid Satisfactory Academic Progress status.
  • Financial aid documents requested.
  • Transcript information, general hold information, account balances, admissions and registration information.

  • The employee must possess the ability to operate current technology utilized by the department, including but not limited to: Microsoft Office, Banner, WebXtender, telephones, fax machines, copiers, scanners, and computers.

Requirements

MINIMUM REQUIREMENTS:

  • Three years related experience and an Associate's degree; or equivalent combination of education and experience.
  • Experience working with students or the general public in a customer service environment.

PREFERRED QUALIFICATIONS:
  • Prior experience working in a post-secondary education institution.
