Administrative Assistant - Environmental Services

Position Summary:


This role is responsible for calendar scheduling, working with online room scheduler and taking minutes at several meetings. Timekeeping for 200+ employees and support of managers who are in need of help with Kronos scheduler.


Qualifications:


EDUCATIONAL REQUIREMENTS
Associates Degree or three years related experience accepted in lieu of degree.

CERTIFICATION & LICENSURE REQUIREMENTS
None

EXPERIENCE REQUIREMENTS
A minimum of 2 years with exemplary clerical, organization administrative and people skills.

SKILLS AND KNOWLEDGE
Kronos timekeeping a plus. Familiarity with business writing. Strong skills in Excel, Word, PowerPoint, Microsoft Team meetings, Zoom, and Graphing. Strong verbal and reasoning abilities and can prioritize demands in a high stress environment. Exceptional communication and customer service expertise.


Essential Functions:

  • Weekly review of Kronos for managers
  • Bi-weekly review of quality indicators-Glo and QA for supervisors and coordinators
  • Monthly graphing of quality indicators
  • Monthly communication and follow-thru for competencies for housekeepers, waste management and floor care areas
  • Customer service for all sales reps, vendors and repair staff from outside of the facility
  • Excellent phone skills with customers
  • Calendar set up and follow through for Executive Director
  • Purchasing through Lawson
  • Room scheduler including room set up for EVS leaders as needed
  • Meeting minutes as assigned by Executive Director
  • Organize and responsible for department scrub program
  • Complete quality and competency assignment and successful completion records as well as graphing results monthly
  • Assist Quality and Training manager with JLRP class scheduling, instructor invites and assembling handouts
  • Weekly Kronos updates to managers and supervisors to make up time lost through late/short/missed lunches and overages before end of payperiod.
