Scope of Position

The Ohio State University Wexner Medical Center (OSUWMC) is committed to enhancing the quality of care provided to patients. The Clinical Engineering (CE) Administrative Associate (AA) is responsible for the clerical, organizational, accounting/purchasing tasks for the Clinical Engineering Service. The AA acts as a backup (or may lead) for travel, dispatcher, requisitioner for parts / or service contracts, taking meeting minutes, invoice payments, reconciles budgets and other backup CE support services as assigned. The AA provides support for meeting department and Medical Center goals. May serve as coordinator in other areas/projects for Clinical Engineering Service. Systems and equipment are operated and supported 24 hours a day 7 days a week through holidays and weekends.

Position Summary

The Administrative Associate is responsible for budget preparation and administration, oversight of personnel actions and record keeping, initiate resolution of employee relations issues, research and analyze materials for special programs, policies, and procedures, and advise CE Management on such matters. Manages and monitors department policies and procedures. Works closely with CE Management and Quality Assurance Coordinator. Serves as liaison between Clinical Engineering Services department and other Medical Center /Campus departments, vendors, and contractors for purchasing, accounting, and policy issues. The Administrative Associate will provide leadership and development of the Clinical Engineering Services team and support the departments goals and mission.

Minimum Qualifications

  • High School diploma or GED. Certification or vocational training may be preferred.

  • Two years experience in a service-oriented environment, or an equivalent combination of education and experience.

  • Experience with accounting and bookkeeping procedures. Experience with contract management is desirable.

  • Excellent communication skills, both verbal and written.

  • Excellent computer skills including Microsoft Word, Excel, Access, and PowerPoint. Experience with medical equipment management systems (CMMS), Kronos and Workday is preferred.

  • Experience in managing a clinical engineering office is desirable.

  • Meets all mandatory safety and educational requirements as outlined in the Departments policy and procedure manual.

  • Demonstrates competence in technical and interpersonal skills required to meet job expectations.

  • In depth knowledge of Windows, Office, etc.

  • In depth knowledge of hospital procedures, reports, accounting and purchasing systems.
